Roadshow Coordinator

The roadshow team is responsible for managing the logistics of deal and investor related roadshows for Equities, Fixed Income and Investment Banking. The majority of roadshows are globally co-ordinated from London in conjunction with colleagues based in New York, Zurich, Geneva, Paris, Frankfurt and Milan. Roadshows in the Asia Pacific region are co-ordinated from Hong Kong, liaising with Event Marketing staff in Singapore and Tokyo. Additionally, US-based roadshows are managed by the New York Domestic and International teams. Cross-regional roadshows are often globally co-ordinated from London due to time differences.

The following procedures are a requirement of the position:
- Draft the original schedule and agree the structure of the roadshow with the originator and corporate client
- Set up each event on RADAR
- Updates Fixed Income calendar (Equity and IBD is automated through REM)
- Provide advice on scheduling one-on-one meetings and group presentations including timings
- Create and maintain master roadshow schedule (if acting as global co-ordinator)
- Select and book venues, flights, accommodation, cars, audio visual etc.
- Brief overseas EM teams who manage bookings and invitations in their local region. Collate all details into master schedule (if acting as global co-ordinator)
- Liaise with the corporate client regarding logistical details
- Work with external logistics companies/joint lead banks to ensure best results for UBS Investment Bank when managing joint lead roadshows
- Distribute invitations and collate responses
- Prepare an estimated costing if required
- Update the originator and sales teams on the level of responses to group presentations and changes to the schedule
- Produce final schedule booklet (with investor profiles for IR roadshows) and deliver to the traveling delegation the day before the roadshow starts
- Produce and distribute roadshow marketing material
- Confirm group presentation attendees by phone and prepare name badges (if required)
- Attend each presentation to ensure smooth running of event and undertake registration
- Arrange and attend post-roadshow de-brief with originator (for deal roadshows)
- Provide the originator with accurate reports of attendance, final schedules and roadshow costings

In addition each roadshow team member has responsibility for the following:
- Vendor Sector - this involves monitoring the performance, ensuring best competitive costs, tracking spend and informing the team of any updates for particular vendors within their designated sector (eg: chauffeur companies)
- Templates - ensuring that the template they are responsible for is maintained and used correctly by the global roadshow team
- Networking with designated business divisions throughout the Bank

Basic Qualifications
- Bachelor's Degree
- 3 years experience

Preferred Qualifications
- Over 3 years experience of directly organizing financial roadshows at an investment Bank
- Acute attention to detail
- Team player
- Ability to constantly multi-task under short time contraints
