The new position will allow exposure to all aspects of Tenant Coordination.  This role is designed to advance the right candidate to the position of Tenant Coordinator.

Growing specialty retail service company which offers Project Management and Tenant Coordination solutions to developers and property management companies.

 

 Job ResponsibilitiesCreate and update tenant manuals and distribute accordingly Maintain and distribute lease plans as required. Receive all tenant requests, log and dispatch all complaints to necessary vendor Receive and keep up-to-date files on all work orders from tenants, correspondence and lease files, tenant insurance tickler files, and service contract files and associated Maintain, update and effectively re-organize the existing file systems, create new file systems as needed Process form letters for various Tenant approvals Schedule and arrange appointments, meetings and conferences Prepare and distribute meeting notices, agendas and minutes as required  Collect and distribute faxes Type letters/memos, file, copy & collate Effectively gather and track the needed Tenant related information from a multitude of sources both internal and external by creatively utilizing different a variety of tactics such (E-mail, phone call, face to face, letters, fax?s, etc.) Update and maintain Tracking Reports and identify specific work scopes. Effectively take the leadership role on special projects Inspect projects as needed Prepare and coordinate the execution of contracts as necessary. Prepare general correspondence including action agendas. General office duties: answering of telephones, upkeep of equipment, ordering of supplies, go to Fed Ex as well as other assigned duties

 

Job QualificationsExcellent verbal and written communication skills. Excellent prioritization and organizational skills (both traditional paper/folder filing and electronic organizational filing) Ability to organize & execute multiple projects    Flexibility and ability to multi task Work effectively in a cohesive team environment Comfortable working in a fast paced environment Mature, responsible and businesslike in demeanor Positive, pro active work ethic and approach Client service oriented attitude Excellent Computer Skills-Must be proficient in Excel, Outlook, Word and familiar with Adobe Acrobat Experience working in Retail related field is preferred. (I.e. Mall Management/Development, or Architectural/Engineering/Design Firm) College degree preferred Must have reliable transportation with a valid Illinois drivers license with automobile insurance and be willing to travel and work in client offices as needed. Part Time to Full Time Position
