POSITION TITLE: Production Coordinator
Location: Santa Monica
POSITION OBJECTIVE
Coordinate all production logistics and assist Producers with requirements for all VAM projects within Blink Digital Santa Monica within allotted timelines, resource requirements, and technical/creative directions. Maintain project schedules, provide administrative assistance and assist in the coordination of financial tracking and reporting as needed. Maintain a can-do, results oriented mentality; take ownership of both individual and team-based accountability toward those results.
ESSENTIAL FUNCTIONS AND BASIC DUTIES
INCLUDE BUT ARE NOT LIMITED TO:
1. Assist VAM Producers with the coordination of production logistics and project management requirements.
2. Under supervision of the project Producer, create, maintain, and distribute project schedules and coordinate timelines with Post Production, Compression & Authoring, and Design departments.
3. Coordinate all production arrangements for live shoots including; scheduling, bookings, securing locations, permitting, hiring crews and other outside production vendors, booking talent and special talent needs, renting and purchasing equipment, transportation, tracking expenses, release forms and other production support duties as needed.
4. Create, maintain, and distribute call sheets, maps, production reports, crew and contact lists, credits lists, music cue sheets, license agreements, contracts, shot logs, purchase orders, check requests, expense reports, and all other required project paperwork as needed.
5. Perform general office duties; label making, copying, faxing, filing, shipping and receiving, coordinating meetings, etc
6. Coordinate all requests and distribution of project elements; field tapes, video masters, storyboards, still images, artwork, audio elements, etc.
7. Track and report element movements to ensure full compliance with security requirements.
8. Be consistent with company practices; use data management procedures to ensure all logistics consumers can access accurate and timely information on element status, location and history.
9. Assist Producers with all aspects of post-production as needed; coordinate internal cut review, update and distribute post-production schedules, identify and report delays, coordinate offline/final deliveries to client.
10. Assist in entry of work orders in Xytech and data entry into the PMS, project tracking software.
11. Assist in identifying and reporting overages, tracking freelance invoices and outside vendor costs and assist in budgeting as needed.
12. Coordinate the wrap of all projects; deliver all final required project documents to client, including final scripts, releases, logs, music cue sheets, etc., coordinate the return of original and final elements to client.
13. Establish and maintain all VAM department files, maintain all current company forms and client required project forms, and maintain and distribute all current project delivery requirements.
14. Conduct, organize, and distribute project research as needed.

QUALIFICATIONS
EDUCATION/CERTIFICATION: Bachelor?s degree or equivalent preferred. Certifications a plus.
REQUIRED KNOWLEDGE: Industry experience including but not limited to project management, process improvement, asset management and/or production scheduling; Organizational and time-management skills, including ability to estimate completion times for project milestones and other assigned tasks.
REQUIRED EXPERIENCE: A minimum of 3-5 years of industry and production coordination experience. On set production experience and experience managing multiple priorities in a creative environment. Experience building strong collaborative relationships with clients to become a valued resource a plus.
SKILLS/ABILITIES: Excellent interpersonal and communication skills, both verbal and written. Strong PC skills, including experience using MS Project, MS Office, MS Outlook, and MS and Internet Explorer, or equivalent. Strong team player. Has commitment to company values. Ability to handle multiple projects and responsibilities under pressure is essential; adapts well to frequent change, delays or unexpected events.
WORKING CONDITIONS
No substantial exposure to adverse environmental conditions. Primary environment: ambient room temperatures, lighting and traditional office equipment as found in a typical office environment. Evening and/or weekend hours may be required. Some travel may be required.
