Institutional Sales Assistant

Job Description

 

Essential Functions

Under general supervision, performs administrative assignments for executives.  Requires continuous use of technical and business vocabulary and a working knowledge of departmental procedures and operations.  Analyzes complex information requests and determines complex trends. May provide work direction to lower level administrative staff.  Service and monitor an assigned group of accounts, working with a group of  Sales Managers to ensure timely and accurate client transactions, reporting and problem solving.  Ensures delivery of client requirements and services.  Partnering/collaborating with support service teams inside and outside VCM to provide high-level service, and support to the clients.  Ensure implementation of administrative service action plans.

 

Marginal Functions

Periodically survey clients to ensure services are meeting their expectations and that client can be used as reference for new client prospects.  Assist in projects on an as-needed basis.  Identify new services and other opportunities for this line of business.

 

Prepare, print & bind presentation pacakages and investment review reports.  Support public funds sales dept (3 professionals) with high level of accuracy and responsiveness for the following: 

 

-organize conferenceevents/client outings 

-utilize SalesLogix to enter and gather client-related information 

-make travel arrangesments 

-prepare expense reports 

-order supplies 

-type general correspondence as needed 

-mail overnight packages and deliver mail 

-answer sales department phones in absence as needed 

-copy documents upon request 

-schedule meetings with clients/prospects 

-maintain Lotus Notes, Sales Logix calendars 

-manage mass mailing/prospecting database, including follow-up 

-manage ongoing communication campaign to include updates

Contact with confidential information. 

Provide assistance on other projects as assigned.

 

Required Skills

Bachelor's degree

Be able to perform duities in a timely and highly accurate manner. 

Ability to multi-task, prioritize and work in a fast-paced, changing environment without compromising accuracy. 

Proficiency with Word, Excel and Powerpoint 

Excellent communication and interpersonal skills. 

Attention to detail a must 

Must be willing and able to work independently and exhibit proactive initiative 

Works well under the pressure of changing priorities.

 

Preferred Skills

3-5 years administrative or sales support experience, preferably in an investment management environment.
