Supervisor-Desktop Services

To provide high quality, professional desktop publishing, production and design services to Investment and Corporate Banking. Work with other administrative staff, aid and facilitate internal team members in the completion of client communications and I&CB marketing materials. Manage client requests and supervise team of three or more to ensure timely delivery and high-quality desktop services.

A. Administration and Management:
? Recruit and supervise Desktop staff
? Organize training for Administrative Staff and Clients
? Implement and maintain a system for quality control
? Liaise with external suppliers/contractors and other internal departments
? Manage expenses including reallocation of costs
? Create and implement new and innovative operating procedures where necessary
? Provide creative advice, feedback, and support
? Ensure Clients are provided with excellent, high caliber service

B. Coordinate Desktop workflow:
? Receive all client requests for Desktop work, extract all pertinent information and negotiate a deadline.
? Follow up with each request to ensure timely completion and keep clients informed of any circumstances that can impact the turnaround of the request.
? Ensure appropriate coverage for non-business hours and make schedule available for easy client reference.
? Template troubleshooting.
? Must be able to effectively balance the Coordination and Document Production aspects of the role.

C. Document Production:
? Document production in MS Word, PowerPoint and Excel; Adobe PhotoShop, Illustrator and Acrobat; mapping software and other programs as required. Production, editing, layout and distribution of publications, on-screen presentations, slides and various collateral for the Bank, as requested.
? Advanced formatting for flowcharts, organization charts, tables, graphs, word processing and other documents as required.
? Corporate functions: invitations, menus, placecards, nametags, signs and artwork for specialized gifts.
? Recreating logos, creating/enhancing graphics and images i.e. photographs.
? Responsible for delivering client-ready material (including printing and binding).
? Ensure all materials conform to I&CB?s visual identity, compliance and confidentiality standards.
? Other desktop projects as needed by the company.
? Sustain and acquire the skills needed to effectively perform role duties.

Qualifications:

Knowledge:
? Post secondary education in Graphic Design or equivalent experience
? Previous supervisory experience
? 5 ? 7 years Graphics/Desktop Publishing experience
? Proficiency in Microsoft Office (Word, Excel, PowerPoint) for advanced document production.
? Intermediate knowledge of Adobe Photoshop, Illustrator, Acrobat Professional and mapping software (MapInfo Professional) for graphic design and slide production.
? Effective time-management to prioritize and provide high quality products and service

? Regular overtime requirements to meet client demands.
