Senior Marketing Inventory Coordinator

Summary:

The Senior Marketing Inventory Coordinator is responsible for the day-to-day tracking, reporting and management of the marketing materials fulfillment process. This position oversees the warehousing and fulfillment vendor and web-based ordering site; coodinates directly with the marketing product managers on materials inventory status; ensures marketing inventory directives are communicated through the proper channels; conducts bi-weekly mailings from Medicis HQ to the sales force; coordinates shipments with the Creative Services team; and supervises the production of field sales force business cards, personalized memo pads and name badges.



 

Key Responsibilities: Coordinate and maintain the promotional materials fulfillment program; oversee the inventory, sales team order cycles, and updates to the web-based ordering site Issue purchase orders, reconcile vendor invoices, obtain approval signatures, maintain accurate records, enter information into the Medicis accrual database and route to accounting Manage fulfillment budget, warehousing and fulfillment vendor contract and report financial status to the Senior Production Manager Communicate with management on all issues and productivity of fulfillment enterprise Proactively communicate with the field sales force in order to minimize questions and alleviate confusion; provide prompt, courteous customer service to resolve fulfillment issues Maintain the web-based ordering site for the field sales force including setup/termination of accounts and users, updates to the website, troubleshooting issues, and authorizing or declining expenditures outside the scope of the program Communicate to the product managers regularly regarding status of their product marketing materials inventory and alert product managers to upcoming inventory depletions and expiration dates Work to analyze usage and maintain acceptable inventory levels of marketing materials and make recommendations regarding reorder quantities Administer internal mailings to the field sales forces; maintain the electronic and hard copy files of the mailings using the most current document retention policy in force Oversee the production of field sales force name badges, personalized memo pads and business cards Coordinate inbound and outbound freight shipments of marketing materials with the Senior Production Manager File final copies of marketing materials in Creative Services master file Submit marketing materials to FDA and maintain file copies

 

Required Education & Experience: AA/AS degree in a business field and 3-5 years experience in a related position is required; or an equivalent combination of education and experience Proven proficiency in Outlook, Word, Excel, Access, PowerPoint and the Internet Demonstrated experience coordinating and managing projects and services in a related industry is highly desired
