Location and Duration:  Washington, DC; 6 months

 

Summary:  Our client is in the process of implementing the Peregrine Contracts Module for software licensing purposes.  Services are needed to help obtain and process into the new Contract Module all contract data beginning October 1, 2002, through the current date. Support services are needed to collect and enter or scan historical data beginning October 1, 2002, to the current date.  Many of the actual contracts reside in the Procurement Department in Philadelphia.  Copies of those agreements and any related documents will be obtained from Procurement and will be stored in the Contracts Module.  This will require the contractor to make day trips to Philadelphia to work with Procurement staff researching and pulling agreements.  Additional contracts are located in various files in Washington DC in several locations as hard copy documents which need to be located and scanned into the Contracts Module.  Other agreements are electronic and are maintained by various staff members on their computer hard drives.  These also need to be located and moved to the Contracts Module.

 

Key Tasks: 

1. Collect specified contract data from various sources and offices located in the Procurement Department in Philadelphia and Information Technology Department in Washington, DC.

 

2. Use Scanner to convert hard copy documents to electronic files and place files as attachments into the Peregrine Contracts Module.

 

3. Move electronic files from other computer hard drives into the Peregrine Contracts Module.

 

4. Search manual files for copies of critical contract documents where required.

 

5. Work with various Amtrak staff to obtain contract documents that may not be in the Procurement or Information Technology departments.

 

6. Submit weekly progress reports.

 

7. Work with Procurement and IT staff to locate contract documents.

 

Required Skills:

1. Must be able to use scanner and associated software to create electronic files from scanned documents.

 

2. Must be able to teach others on use of scanner.

 

3. Must be able to move electronic files from one computer hard drive to the Contracts Module application.

 

4. Must be able to type proficiently and accurately to enter data into the Contracts Module data fields.

 

5. Must be able to work independently without close supervision.

 

6. Must have a general knowledge of contracts and contract related documents.

 

7. Proficiency with Microsoft Excel and Word documents.

 

8. Prepare basic procedures for all work performed.

 

9. Prepare weekly progress reports.
