 Marketing Assistant

 

Exciting entry level opportunity for smart, dynamic professional to join global construction management firm?s Boston office.  Provide administrative support as well as production support to both corporate and Boston marketing staff.  Format documents according to standard templates, run spell checks, punch and bind documents, print and collate material, research provide basic clerical support (copying, check requests, etc).  Begin training on proposals and presentation and writing and design of marketing materials.

 

High functionality and comfort in computer environment.  Proficiency in Word, Excel, Power Point, a must.  Knowledge of Quark, Illustrator, and Photoshop preferred.  Must be capable of working in a fast paced, multitask environment.  A 'can do' team oriented attitude a must. 

 

A self-motivated team player who provides full range of support for marketing needs. Position requires strong attention to detail with organized approach and relies on ability to work independently and manage/prioritize multiple tasks to meet specific deadlines. Candidate must possess excellent written and oral communication skills.

 

Principal Duties & Responsibilities:

 

Introductory Packages:

 

Prepare packages for prospective clients, architects, project management firms as it pertains to specific project or information requested (brochures, news letters, project description sheets, etc.)

 

Proposals & Presentation Materials:

 

Assist Marketing Coordinator to develop and maintain primary responsibility for the coordination and preparation of all proposal and presentation materials. Responsibilities include creation of documents and formatting, copy writing, proofreading, editing, spell checking, researching and compiling information to present concise, customized, creative, focused, and high quality response.

 

Files, Documents, Databases, etc.:

 

?  Process Check Requests via Stone Globe / Lotus Notes. Update Excel  spreadsheet to reflect the category and check amount.

 

?  Create, update and maintain all marketing information including but not limited to:

 

 

-  Update and maintain contact database, company database, project library and other Lotus Notes/Stone Globe information as necessary. Maintain general files, proposal files, etc.

 

-  Update and maintain marketing resource libraries, which encompass various relational databases for photography, project profiles, corporate standards and boilerplate.

 

Materials and Supplies:

 

? Maintain and order all materials and supplies for proposals, presentations, and general marketing use.

 

? Maintain project photography files, logs, etc. including scanned images as well as direct photographic prints.

 

Events, Outings:

 

  ? Assist with the coordination of client parties, outings, dinners, receptions, etc.

 

  ? Order promotional items and materials.
