We are currently seeking a Project Coordinator to join our Project and Development Services Group located in New York City, NY. Our Project and Development Services group provides a range of occupancy-related design, construction and relocation services for corporations, institutions and professional services firms.
PROJECT COORDINATOR - New York, NY
Responsibilities:
Act as general office manager and administrative support for a large project team at the client location
Manage all general administrative functions, including conference room scheduling, arranging catering, ordering office supplies, coffee and water, PM expense reporting, and all communication and coordination with project partners
Assist project managers in the coordination and distribution of minutes for project meetings, as required
Attend project meetings, as required, with project team and client
Distribute mail, fed ex and messenger packages
Develop, maintain, and distribute project documentation and reporting (this includes monthly cost reports, monthly management reports, monthly project financial reports, quarterly project overviews, playbook updates, etc.)
Maintenance of Central Project files and records including base building and tenant fit up drawings and specifications, and all contracts and subcontracts
Work with client's risk management group on a regular basis to ensure all audit and risk requirements related to project files and procedures are addressed
Scan monthly project photos and maintain database of photos
Responsible for Field Office Accounts & Invoice Processing
Assist Project Finance Manager with financial data input, processing for all project invoices, and other accounting processing functions, as necessary
Audit and review the full range of documentation on contract terms and changes
Maintain budgets and purchase orders (and change orders) for projects
Route requests for proper approval
Provide financial reports and project status information as needed
Requirements:
Bachelor's degree in Construction Management, Architecture, Engineering, Accounting, Business or any other related degrees
Minimum of 1-2 years of practical experience in a project administration or an accounting position
Basic understanding of construction drawings
Basic understanding of elements of a project budget and basic accounting
Experience in construction management or real estate preferred
Highly organized with strong analytical skills
Ability to work independently and be a self starter
Excellent communication skills
Computer proficiency
