Scope

This position is responsible for all activities required to process International sales orders and inquiries to satisfactorily meet customers? requirements.  This may include, but is not limited to, documentation, shipping arrangements, entering, expediting and tracking orders in Oracle Order Management, maintaining files of customer requirements with constant communication between customers, sales offices, manufacturing locations, marketing, shipping and credit departments. 

 Responsibilities

 

Customer Service

?  Assist customers, sales managers, marketing, shippers, forwarders, agents, and credit department with processing orders and obtaining information required to resolve specific issues.

?  Communicate customer scheduling and shipping requirements to appropriate mill personnel and sales management.

?  Interact with Credit Dept. to resolve customer credit problems with sales offices or directly with the customer.Expediting

?  Timely follow-up of orders; obtain frequent status updates from Manufacturing, Scheduling, Shipping and Credit.

?  Process required documents prior to shipping (Letter of Credit, Commercial Invoices, Import License etc.).  Review documents for accuracy to purchase orders.  Channel documents to appropriate freight forwarders and internal departments including credit, to insure accurate payments and on-time delivery.

?  Anticipate delays and problems before they happen so that they can be prevented.

?  Contact customer and sales office regarding early or late shipments.

Order Processing

?  Receive customer order, edit, and enter data in Oracle Order Management including proper documentation, appropriate quantity conversion, product specifications, payment terms, delivery terms, etc.

?  Verify pricing against published price pages or with the appropriate Marketing Manager.

?  Obtain scheduled manufacturing and shipping dates; maintain tracking to ensure on-time delivery.

?  Match acknowledgement to order to ensure information is accurate. Acknowledge order to customer and mill.

?  Maintain customer order files and consignment orders for billing purposes.

Inventory Management?  Process consignment or stock orders for manufacture and transfer to the consignment warehouses.

?  Coordinate customer releases and enter in the computer system to relieve inventory and create invoices.   Qualifications

Associate Degree required with 3-5 years experience in international customer service or export. Strong computer skills, (prefer Oracle users) with the ability to logically organize and accurately document activities.  Excellent verbal and written communication skills with a high level of accuracy and attention to detail. Customer oriented; ability to handle multiple projects simultaneously and fluctuating workloads.  Team player willing to cross-train for coverage during vacations and absences.
