Customer Service Representative/Dispatcher

POSITION SUMMARY
Incumbent answers all requests from internal and external customers about customer service related information. Answer calls for commercial service request and inputs data for dispatch to Precor Technicians, Dealers and Third Party Maintenance Companies. Follow up on all service calls dispatched to ensure service has been completed to customers satisfaction. Dispatch calls under the direction of Commercial Supervisor. Responsible for taking part orders, handling inquiries and complaints, processing claim forms, preparing reports, filing, mail/FAX distribution, answering phones, data base entry, operates all office equipment and assisting in special projects.
SCOPE OF POSITION
Incumbent reports directly to the Customer Service Supervisor. Position involves high degree of interaction with final customers (club owners, managers and maintenance staff). This position involves interaction with Sales, Accounting, Operations, etc. Follow up, attention to detail, and professionalism are important factors in daily administration of this position.

Customer Contact
1. Maintains contact with major customer accounts, and end-users through phone contact and correspondence.
2. Explains and administers company policies and procedures pertaining to customer service (i.e.: warranty policy, parts credit, return policy, etc.)
3. Communicates effectively with internal customers (Sales, Accounting, Operations, etc.)
Part Orders
1. Assists customers with part orders through an on-line computer system, this includes data-entry of customers numbers, part numbers, quantity, etc.
2. Assists customers in the identification of needed parts using schematics of the product.
Duties
1. Answers calls for Commercial Service Request, enters request in computer, dispatches calls to field service, and to internal phone technicians for assistance.
2. Files packing slips, warranty service claim forms, correspondence, contracts, etc.
3. Creates files for new subject matter, planning ahead for rotation of files.
4. Operates and stocks supplies for office equipment: PC, copier, fax, laser printer, etc.
5. Assists customers with the use of Precor/Dealer Web site to find information.
6. Inputs warranty claims into the computer system.
Experience and Skills:
JOB SPECIFICATIONS
Any equivalent combination of education and experience which provides the applicant with the knowledge, skills, and abilities required to perform the job will be considered.
EDUCATIONAL REQUIREMENTS
1. High School diploma or equivalent.
2. College/Vocational/Military training in customer support, telephone communication skills, business administration, computer applications and word processing, or related work experience required.
PROFESSIONAL EXPERIENCE
1. Minimum of 1 year of customer service phone experience.
2 Presenting a professional and congenial phone manner (i.e.: tone, vocabulary, etc.)
3. Experienced at effectively formulating written correspondence.
4 Working knowledge of computers, experience with Word and Excel a plus.
5 Keyboarding 35 wpm.
WORKING ENVIRONMENT
Normal office conditions with extensive phone work. Will also be keyboarding to input orders and letters
PHYSICAL REQUIREMENTS
Light physical effort in office environment. Will be doing filing, keyboarding and occasional light lifting.
OTHER
1. Detail oriented with a strong ability to memorize parts and part numbers.
2. Strong desire to participate as a team player.
3. Ability to deal with fast-paced environment with a high volume of phone calls on a consistent basis and handle customers in a professional manner.
4. Ability to read schematic?s and manufacturing drawings, (exploded views)
5. High Proficiency of organizational skills is preferred
6. Other duties as required by position.
