Order Coordination Supervisor I/II

POSITION PROFILE Leads the Order Coordination team by providing order management support to a specific Sales area. Responsible for the daily workflow and management of a team of 7-15 non-exempt employees including timely, accurate processing and invoicing of orders; new cycle set-up, lease administration and outbound Interterritorial processing; daily workflow and management of the team. Also accountable for ensuring prompt lease funding and coordination of revenue accruals.

 

JOB DUTIES AND RESPONSIBILITIES
Staffs, manages and motivates team of 7-15 non- exempt employees.
Ensures that orders are processed on an accurate and timely basis.
Develops strong working relationship with customers and Marketplace personnel.
Coordinates or provides on-the-job training for new and current members of the team.
Prepares and conducts team members? performance appraisals with management?s approval.
Responsible for the counseling and/or disciplinary action of team members.
Conducts on-on-one and group meetings with OC personnel.
Assist employees with lease processing, INCR requirements, IFS problem resolution and resolving more difficult order issues.
Develops strong working relationship with IFS and Sales personnel.
Prepares various reports for management.
Tracks and records payroll for direct reports.
Recommends new/improved procedures as needed to improve productivity/skillful job performance.
Reviews and distributes system reports, i.e. missing contracts, open order reports.
Monitors and documents daily activities and performance of team members.
Responsible for the coordination of revenue accruals with Sales and PAR. 
Responsible for training new sales representatives on paperwork and operations process.
Responsible for ensuring that excellent customer service is delivered to all internal/external customers at all times.
Performs other duties as assigned.

 

QUALIFICATIONS
High school diploma or equivalent is required; college degree (associates or bachelors) strongly preferred.
Requires a minimum of 3-5 years of business experience in the areas of Order Management, Leasing & Contract Administration, Auditing and/or Billing Reconciliation.
Requires 2 years of management and/or supervisory experience.

 

KNOWLEDGE, SKILLS AND ABILITIES
PC experience and aptitude are required.
Possesses excellent communication skills using a variety of media.
Possesses strong customer orientation and organization skills.
Possesses ability to maintain strict confidentiality.
Possesses ability to multi-task and problem solve.
Possesses excellent interpersonal skills and professional demeanor.
Requires attention to detail.;
Possesses ability to review and understand general instructions - prepare, provide and convey diversified information.
