Scheduling Coordinator

JOB SUMMARY:

Maintains treatment schedule for physicians and crew members to optimize patient satisfaction, provider time and most effective utilization of examining and treatment time.

 

ESSENTIAL FUNCTIONS:

1.  Answers incoming scheduling call (Hotline).

2.  Maintains schedule for the physicians and crew members advising of cancellations and schedule changes, including PiMS calendar changes.

3.  Registers patients into PiMS and screens insurance information of patients to facilitate timely verification, precert authorizaiton or referral as required. 

4.  Notifies verification coordinator of same day add-ons.

5.  Endeavors to keep patients on schedule by reminding providers (hospitals/physicians/ crew members/Operations) of service days and or delays.

6.  Acts as coordinator for one or more assigned entities to facilitate communications in that area.

7.  Coordinates special stops for any physician.

8.  Notifies Manager and Operations when any crew reports mechanical difficulty or the occurrence and nature of any communication concerning problems.

9.  Maintains open channels of communications with facilities and physicians to ensure the continuity of care.

10.  Communicates PiMS treatment schedule to crews and works with crew to ensure timely and successful treatment of all patients.

11.  Edits and distributes published unit calendars to crew, gacilities and physicians.  Maintaining label documents to facilitate monthly quarterly mailings.

12.  Performs other duties as assigned.

 

ADDITIONAL RESPONSIBILITIES:

 

1.  Responsible for security of member files.

2.  Generates reports for management.

3.  Assists in special projects as required.

 

JOB QUALIFICATIONS:

1.  Minimum of one to two years experience in medical appointment scheduling preferably within a surgical department and at least one year of experience with medical insurance plans.

2.  Minimum one year experience with Windows XP, or Windows 2000 Outlook, Word and Excel.

3.  Basic office skills such as typing and filing with some knowledge of medical terms and medical insurance processing.

4.  Personality and demeanor to deal with the public and assist distraught physicians and/or their office staff.
