We are currenlty seeking an Administrative Assistant for our Career Services Department at our Federal Way, Washington campus.

 

Position Summary

 

Provides complete administrative support to the Career Services Department, including a wide range of administration, general support and analysis duties of a responsible and confidential nature; requires a great deal of professionalism, discretion and integrity in dealing with internal and external contacts.

 

Essential Duties and Responsibilities

 

1. Provides administrative support to the department including word processing, answering phone calls and copying materials.

2. Screens visitors and routes visitor to the appropriate department.

3. Answers telephone, screens and refers calls to appropriate person, takes messages, responds to highly diversified inquiries from management, employees, and the general public; and provides courteous and efficient responses.

4. Drafts and types letters, memos, and various reports.

5. Maintains accurate records and files; filing systems to include hard copy, computer diskette and network systems; ensures filings are in proper format and filed in a timely manner; supplies information upon request.

6. Receives, sorts, distributes, opens and screens incoming mail; categorizes and prioritizes response needs; uses initiative to prepare responses for signature and to assemble background information from many sources; follows up to ensure that proper and timely action is taken.

7. Performs data entry into various systems.

8. Coordinates specials projects and completes ad hoc assignments delegated by the Dean of Student Services.

9. Maintains calendar and personal database, schedules meetings and makes travel arrangements.

10. Orders office supplies and equipment; prepares expense statements.

11. Provides back up to the main switch board receptionist.

12. Performs related duties as assigned or directed.

Education, Experience, Knowledge and Skills

 High school diploma required. Typically candidattes will have at least two years of related experience. Must possess an extensive knowledge of business English, spelling, punctuation, and arithmetic with a broad-based understanding of modern office practices, functions, regulations and procedures. Skills should include typing, computers and other office equipment. Problem-solving, analytical skills and the ability to balance multiple tasks simultaneously are essential. Good organizational, interpersonal and communication skills are required. Attention to detail and mental concentration are necessary for accurately performing tasks and tolerating frequent interruptions.
