Position Summary
Kaplan University an institution of higher learning dedicated to providing innovative undergraduate, graduate, and continuing professional education is currently seeking an Assistant Registrar to join their team of talented professionals. The Assistant Registrar for Records will be responsible for ensuring compliance with established records retention policies and procedures as well for the management of electronic and hardcopy student records. Reporting to the University Registrar, this key member of the Registrar?s Office will have responsibility for managing the daily operational activities related to the following essential functions.


Essential Functions:

Student Records Maintenance: Responsible for ensuring the accuracy and completeness of all student academic records. This includes but is not limited to new student files, enrollments, registrations, graduation audits, grade postings and changes, bio/demographic changes, attendance tracking, drops, cancellations, withdrawals, repeats, program changes, re-admits, and re-entry student processing.

Employee Supervision: Provides staff guidance and supervision of seven employees as it relates to carrying out the various functions within the Registrar?s Office. Handles staff performance evaluations annually. Interview, hire, train and terminate employees.

Student Services & Confidentiality: Provide accurate and timely delivery of student academic records including transcript requests, enrollment certifications, deferments, official grade changes, degree postings and diplomas. Maintain confidentiality according to FERPA guidelines.

Report Generation and Distribution: Develops and disseminates reports required by governmental agencies, professional associations, and internal departments. This includes but is not limited to class scheduling reports, student counts, grades, graduation, repeats, etc.

System Maintenance, Development and Training: Provides on-going training for Registrar?s staff in the use of the student information system as well as various university reporting systems. Provides regular maintenance to the student information system by adding new courses, new programs, and by changing pre-requisites, etc.   Qualifications:

A Bachelor?s degree is required; a Master?s degree is preferred. The successful candidate must have experience in leading, supervising and training staff. Experience with conflict resolution is essential. Must be able to work independently, follow directions and possess excellent written and oral communication skills. Knowledge of federal laws related to student records and privacy is essential. Must have the required organizational skills to manage multiple projects, delegate heavy workloads, pursue multiple tasks simultaneously and meet established deadlines. Must have experience with information systems, imaging systems, and report writing. Proficiency in the use of Microsoft Office applications such as Access, Excel, Outlook and Word.
