Training Support Assistant III
Innovative and growing business services company seeks to hire a Training Support Assistant III to support Training Managers in the oversight of national training programs, which will include the following tasks:
? Provide prompt, courteous, and efficient service to anyone needing course schedules or to customers who have questions related to course schedules.
? Provide administrative assistance with instructor development and instructor recertification sessions.
? Maintain current training related documentation on instructors in database.
? Ensure that instructors received prompt, courteous, and efficient service when they encounter problems in training delivery.
? Obtain approval for course instructors, which include faxing and/or mailing a request letter and keeping a record of approval or denial.
? Place course session information on the web / Class Manager / electronic Learning Management System (eLMS) site, when identified.
? Provide prompt, courteous, and efficient customer service to all employees requiring assistance with eLMS. Alert division on all technical problems or issues encountered with using eLMS.
? Prepare and mail confirmation letter(s) to host contact and Division Administrator (as applicable).
? Prepare course folder, to include class roster and all written documents, and store in designated area.
? Assist with classroom set-up / clean-up for local courses.
? Assist course coordinators and Training Managers to ensure sessions are closed out properly (completions entered in eLMS and course documents completed), in a timely fashion (within 3 business days after receipt of student grades), and with no errors. Use of in-house associate staff software program, scanning software, Microsoft Word, Microsoft Excel, and the eLMS to achieve closeout of each training session will be necessary.
? Grade tests by hand or with existing technology, adhere to established test security procedures and prepare pass / fail list.
? Scan instructor and course evaluations submitted by attendees.
? Prepare and mail course certificates.
? Prepare labels and affix them to envelopes.
? Provide re-testing materials and procedures to client for students who require re-testing. Maintain re-testing file.
? Use Excel or similar software to maintain statistics of each course (i.e. number of students who attended each session).
? Provide prompt, courteous, and efficient customer service to all individuals for travel planning.
? Email federal instructors the proper accounting classification codes.
? Act as a liaison with client on all matters relating to travel.
? Prepare and fax all travel-related paperwork to instructors, and other travelers no later than 45 days prior to the dates of travel.
? Prepare rush travel paperwork, which may have to be processed and sent out to the traveler within 1-2 business days.
? Ensure that travel paperwork effectively and efficiently makes it to the traveler, who may be working at a remote location.
? Provide prompt, courteous, and efficient customer service to all travelers requesting status of travel payments.
? Review all travel vouchers to ensure that traveler has prepared the voucher in accordance with the Federal Travel Regulations. Vouchers will be processed within 3 business days after receipt.
? Provide prompt and courteous feedback to all travelers who have filed incorrect vouchers, as well as to travelers having problems planning an upcoming trip. When encountering unusual travel problems or questions, work closely with the training manager to provide the best possible information to the traveler.
? Maintain the official travel records and files for the client
? Prepare and fax confirmation letter with travel advance request form to instructors and other travelers.
? Prepare travel authorization forms for Staff.
? Organize and maintain office filing systems, file correspondence, and other records according to established agency procedures. Compose correspondence, in accordance to established agency procedure, for Training Manager signature.
? Coordinate and arrange meetings, prepare agendas, reserve and prepare facilities, and record minutes of meetings, as directed by the Training Manager.
? Answer telephones.
No relocations costs will be paid for this position.
