Bid Coordinator

Summary Overall responsibility for the coordination of bid preparation and maintenance for oil, gas and electricity customers.  Provide assistance in the resolution of customer inquiries and issues

 

 

Responsibilities

 

1.  Review incoming bid documents according to specifications for oil, gas and electricity opportunities.  Determine bid requirements/criteria.

 

2. Submit proposed bid contract to legal department for review and submit prospect to

  credit department for approval.

 

3. Prepare/coordinate bid pricing

?  Calculate bid price for natural gas bids using encore system or manual deal sheets for

Metro region.  Coordinate natural gas pricing with regional operation offices for Non-

Metro bids.

?  Coordinate all electricity bids with electric pricing team.

?  Calculate bid price for all fuel oil bids:

- Hedge fixed price deals through SDS system and ST&T in NY

- Calculate index pricing (OPIS, PLATTS, JOC, etc) by analyzing historical performance of 

index versus cost.

?  Recognize the risk of having a  bid price open for an extended period of time and

assess a risk premium into the proposal price.

 

4. Prepare/coordinate necessary bid documents

?  Complete all required bid forms and submit to management for proper signatures.

?  Coordinate issuance of insurance certificates and consent of surety/performance

bonds



5. Log bid opportunities into the customer relationship management (CRM) software for

  tracking and reporting purposes.

 

6. Ensure bids are submitted on time and summarize bid results in CRM and file.

 

7. Attend pre-bid meetings and bid openings in NJ/PA metro region to represent Hess if

  necessary.

 

8. Coordinate enrollments of new natural gas and electricity customers with bet

  department.

 

9. Monitor performance of contracts (volume and margins).

 

10. Submit customer reports as required by bid specifications.

 

11. Assist quality customer service resolve customer issues.

 

12. Review contract expiration reports monthly to ensure that customers are contacted

  prior to contract expiration.

 

 

Requirements

 

?  Undergraduate degree in business or related field and/or work experience.

?  Ability to interact with customers via telephone and face to face interaction

?  Ability to interact with internal organizations (ie, credit, legal, insurance, tax, traffic,

  Cops, GCS, pricing team, NAT gas accounting, NAT gas retail ops)

?  Strong organization skills with the ability to meet deadlines

?  Effective writing and communication skills

?  Self-starter who is highly motivated

?  Strong analytical skills

?  Working knowledge of sap for profitability reports, price quotes, etc.

?  Working knowledge of APOLLO for customer billing, set-up and deal information.

?  Proficiency in Microsoft office applications, specifically  excel and word

?  General knowledge of energy markets
