 Create and Maintain WBS/Cost Code Structure and distribute to project personnel.  Maintain WBS/Cost Codes in accounting system (PENTA)Incoming invoice control to include review of supporting documentation, coding and approval from Project Manager.  Coordinate with Accounts Payable to ensure timely payment of these invoicesOutgoing invoice control to include creating invoice, logging invoice, manual input into accounting system (PENTA) and getting proper company approvals before sending to Client.  Also provide back up documentation and appropriate Client coding to help expedite Client payment of invoice and as required by Contract.Monitor project finance: cash flow, currency follow-up (for foreign currencies)Advise Finance Group expected timing of payments for accruals and cash flow updates.Review and update expected timing of milestone billings and provide to Finance Group (for cash flow)Advise employees and project managers on timesheet allocation and coding of project hoursPrepare input for bi-weekly and monthly reportingProduce man-hour and expense summaries from accounting system (PENTA)Produce internal cost reports; focus on identifying current and potential problems and initiate corrective actions if necessaryCoordinate with procurement, plan and whoever necessary to provide a good forecast as part of monthly reporting

 

Change ManagementPrepare change order documents to be submitted to Client by working with Engineers and Project Managers (using Client forms if necessary)Ensure change order documents are submitted by contract requirementsCreate and maintain change order log and send to Document Control to be uploaded into document management system (ProArc)Set up Project Change Management Procedure and ensure it is followed throughout the projectEnsure Client Change Order Procedure is followedUpdate Finance, Project Managers and Project Controls as Change Orders are accepted and approved by Client for Project Revenue changes
