Prerequisites: HS/equivalent. AA/BA preferred; Minimum 3yr top executive support, 1yr multi-manager support; superior oral, written & computer skills; travel planning experience; legal secretarial experience. Ability to work independently, research, multi-task, plan meticulously & be organized, accurate & detailed.  Exempt position.

ADMINISTRATIVE ASSISTANT TO PRESIDENT & C.E.O

JOB DESCRIPTION

 

 

Job Title:    Administrative Assistant

Reports to:   President and C.E.O.Status:    Full-time, exempt

 

General Responsibilities:

1.  Performs a variety of tasks that require planning and organization to meet deadlines and quality standards, while providing support and serving as a filter and gatekeeper to the President and C.E.O.

2.  Exemplifies teamwork and fosters a team environment. 

 

Specific Responsibilities:

1.  Researches report information, including using Internet sources.

2.  Schedules appointments, meetings and conference calls for the President and CEO.

3.  Creates various types of documents; including routine correspondence, letters, memorandums, agendas, minutes and reports.  

4.  Prepares complex travel plans, programs, events and conferences by arranging for flights, hotels, car rentals, facilities, caterers, and preparing event budgets.

5.  Communicates both orally and in writing with individuals within and outside the office.  Screens incoming calls and collects inter-office responses and requests. Forwards the information in a clear, concise and complete manner and/or responds independently, as deemed appropriate.

6.  Opens, routes, sorts and prioritizes the President and C.E.O.?s mail and responds to inquiries, as needed.

7.  Maintains both electronic and paper confidential files.

8.  Delegates tasks to team members, as needed.

9.  Makes purchases for company, driving personal vehicle as needed.

10. Creates and updates checklists for all major areas of activity to continually increase quality of work performed.

11. Provides other administrative support as needed.

 

Job Requirements:

1.  High school diploma or equivalent.  Associates degree or equivalent preferred.

2.  Minimum three years? administrative assistant experience supporting senior management.  Minimum one year administrative experience supporting multiple personnel. 

3.  Able to read, analyze and interpret general business periodicals, technical procedures and government regulations.

4.  Legal secretarial experience.

5.  Experience researching information via the Internet.

6.  Highly proficient in using MS Office: Microsoft Word, Excel and Powerpoint.

7.  Excellent written and oral communication skills.

8.  Ability to plan and organize one?s own activities.

9.  High degree of accuracy and confidentiality.

10. Must possess valid driver?s license.

 

Hours:  40-50 hours per week, including Monday through Friday

    Normal office hours:  9:00 a.m.-5:30 p.m.
