Contract / Confirmation Coordinator

Shell Trading Services Company is currently seeking a Contract / Confirmation Coordinator for its Houston, Texas location.

Responsibilities:
In this position, you will be responsible for generating standard fit for purpose master agreements and non-standard manual confirmations, handling requests for counterparty set up through EAI, processing name changes, etc. in all systems. You will work in conjunction with the Commercial Advisor to draft, negotiate, and follow up on contracts until they are executed. You will handle customer inquiries (both internal and external) and maintain systems and processes. You will verify, then generate, standard fit for purpose confirmations from Nucleus or Endur for transactions, verify e-Confirms, verify broker and counterparty confirmations to systems to ensure accuracy and resolve transaction discrepancies. Key Accountabilities Include:
- Handling contract or confirmation queries from third parties on behalf of Commercial and Trading, seeking advice from the Commercial Advisors when required
- Maintaining contract/confirmation processes and procedures
- Interfacing regularly with Commercial, Trading, Credit, Data Administration and the Commercial Advisors to ensure timely dispatching and execution of contracts and confirmations
- Providing reports to Commercial Advisors and Commercial Reps regarding the status of contracts, confirmations and related issues
- Generating standard form contracts for Commercial and Trade, ensuring are complete and dispatch to third parties
- Processing contracts for execution internally and externally and forward copy to the counterparty
- Analyzing the risks associated with changes to contracts and based on associated risk determine whether or not the contract should be further reviewed by the Commercial Advisor
- Submitting requests for the setup of new counterparties, name changes, assignments and mergers and ensure all systems updated
- Assisting in developing and maintaining an electronic on-line library, which captures changes that have been accepted in the past by legal, credit and commercial
- Ensuring the Contracts Database(s) are updated in a timely manner so that other departments (Legal, Credit, Commercial and Trade) and the Commercial Advisors are kept apprised of the status of a contract
- Depending on level of experience of the successful candidate and other pending organizational changes, these roles may assume lead responsibility
- Generating standard form confirmations for transactions done under master contracts, ensuring the terms and conditions are correctly captured in all systems
- Ensuring confirmations dispatched within contract deadlines
- Verifying counterparty and broker confirmations accurately capture terms and conditions and resolve discrepancies timely
- Identifying transactions requiring manual confirmations and forward to appropriate staff
- Updating systems with changes to fax numbers, contact names, etc.
- Generating reports to ensure deal changes are confirmed and deals are tied to correct contracts prior to invoicing

Requirements:
To be considered for this position, you must possess a Bachelor?s degree or equivalent work experience and should have prior experience in an energy trading and marketing environment and a desire to learn more about the business. Previous exposure to the contracts and/or confirmations processes in the energy industry would be an asset. You should have good customer service and interpersonal skills, a professional attitude, a high degree of accuracy, be task oriented and meticulous and work well within a team environment.
