SENIOR DOCUMENTATION SPECIALIST/SUPERVISOR

 

First National Capital Corporation is a fast paced, high growth commercial equipment finance and leasing company located in Lake Forest, California.  We are seeking an experienced documentation professional to oversee our documentation department and build the foundation for the significant growth we are experiencing.  We are looking for a positive, energetic, individual that can multitask and work in a fast paced work environment while they establish the foundation for this critical department.

 

 

GENERAL RESPONSIBILITIES:

 

Manage all aspects of a multiple stage process to facilitate the closing and funding of moderately complex middle market - large ticket equipment lease and loan transactions; serve as contact between sales reps and medium/ large corporate customers; assume lead role in the creation, review, and verification of all documentation and funding packages; coordinate the final documentation preparation and review process with the funding source; assume a role in the presentation and communication of all aspects of the deal structure to the appropriate funding source contact to insure the timely and accurate funding of the transaction; develop and direct necessary procedures to clear any document ?exception? issues that remain post funding.

 

ESSENTIAL DUTIES:

 

I.  Manage multiple activities in conjunction with the closing of complex, structured lease transactions originated by the sales team;

a. Utilize working knowledge of all transactions and structures to help establish transaction funding timetable;

b. Prepare documentation for lease and loan transactions, coordinating structure and documentation requirements with sales management, customer, and funding source.

c. Perform complete and thorough analysis, verification and audit of all lease documentation, insuring that compliance with the terms and conditions of all aspects of the credit/syndication approval have been met;

d. Enlist and coordinate assistance from legal counsel to advise on specific transactions issues and unresolved legal matters pertaining to transaction documentation when appropriate;

e. Coordinate and manage the final documentation audit process, reviewing all issues of deal specific transaction documentation, structure, pricing, sales/property tax, and payment procedures prior to delivery of the funding package to the Operations group;

f.  Assume role as primary point of contact for funding sources/investors in the absence of the management as it relates to funding.

II.  Develop and implement procedures to process and track payments to vendors/dealers, including progress payments, to insure timely payment within the parameters of the approval.

III.  Establish and maintain effective processes to ensure the timely and accurate processing and booking of lease and loan transactions.

IV.  Establish and implement necessary procedures to insure that ?follow-up? items are received on a prompt and timely basis.

V.  Provide assistance to customers/sales reps in researching and clearing up administrative issues as they occur (i.e. billing questions, booking issues, etc).

VI.  Book transactions into the Lease/Loan Accounting System.

 

MINIMUM KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

?  2-5+ years of related work experience in the Equipment Leasing Industry, Finance Industry or Mortgage Loan Origination. 

?  Management experience a plus, but not required.

?  Bachelor?s degree or equivalent experience preferred.

?  Understanding of varied lease/loan structures and corresponding complex documentation a plus.

?  Proficient with Microsoft Office programs such as Word, Excel & Access. 

?  Ability to multi-task is critical.

?  Strong attention to detail.

?  Ability to work independently.

?  Strong decision making capabilities.

?  Solid interpersonal skills.

?  Ability and confidence to interact with large corporate customers.
