TAX ADMINISTRATIVE ASSISTANT

MAJOR DUTIES AND RESPONSIBILITIES:

?

Individual will be responsible for providing general administrative support for the Vice President of Tax and the department.? This position includes tax return processing and working in Excel and SAP to prepare and create reports, manage databases as well as special projects for the department.

PRIMARY DUTIES:

-Tax return processing and with awareness of compliance functions

-Process invoices and assist with Annual Budget

-Screen mail ? redirect to Tax Dept. as appropriate

-Planning/Anticipating travel needs of Vice President and department and independently coordinating complex travel arrangements.

-Arranging and coordinating meetings/conferences.

-Managing complex calendar activity, including coordination of conference calls and meetings for both large and small groups.

-Meeting planning for both small & large groups - schedule meetings, coordinate meals, coordinate travel, review and approve contracts for off-site events, etc

-Overseeing P-card purchases and ensuring adequate documentation is maintained and that purchases are valid.

-Create and track expense reports

-Maintain comprehensive filing system ? make/maintain files as requested

-Manage the routine office administration tasks ? office equipment troubleshooting, repair and coordination, general clerical support (prepare letters, memos, make copies, send faxes and manage office supply stocks, etc.)

-Prepare all Tax department presentation materials using Word and PowerPoint.

-Telephone support ? timely delivery of messages

-Special projects when needed by the department

?EDUCATION:

?

A.S. degree preferred.

?

WORK EXPERIENCE:

?

A minimum of 3-5 years experience with administrative support to individuals at the V.P. or Director level.

SKILLS / KNOWLEDGE:

-Experience with Tax return processing

- Strong proficiency with Microsoft Office tools ? Word, PowerPoint and Excel required. KNowledge of Lotus Notes preferred.

- Experience/proficiency with SAP preferred

- Experience/ability to manage basic financial/budget data

-Ability to effectively coordinate simultaneous projects and successfully prioritize multiple tasks with good judgment
