Chartroom Assistant Supervisor

DEPARTMENT: Outpatient Medical Records

 

SCHEDULE: Full-Time regular; 40 hours per week; evening shift; Monday thru Friday; 3:00pm to 11:30pm

 

EDUCATION / LICENSE / CERTIFICATION: BA degree preferred; CA Drivers License

 



QUALIFICATIONS:

Acts as liaison between the chartroom, providers, nursing, administration, laboratory, etc. Develops and maintains effective working relationships with other departments and staff personnel in order to promote efficient and responsive departmental operations. Supervises staff, provides on going training and ensures their competency. Provides adequate personnel to maintain efficient and effective chart delivery to providers. Maintains accurate and timely filing of patients data in charts. Ensures work is done in compliance with federal, state and local requirements. Recommends programs which will result in better quality of patient care and/or physician service. Assists in establishing goals and objectives for the department and own self-development. Assists in developing and maintaining the budget. Prepares monthly variance reports. Plans and carries out audits to evaluate department compliance with regional and local policies and procedures. Evaluates requirements for chart purges and relocation. Identifies all training needs for chartroom personnel and coordinates programs for staff based on identified needs. Orients department staff to computerized systems.

 

Consistently supports compliance and the Principles of Responsibility (Kaiser Permanente's Code of Conduct) by maintaining the privacy and confidentiality of information, protecting the assets of the organization, acting with ethics and integrity, reporting non-compliance, and adhering to applicable federal, state and local laws and regulations, accreditation and licenser requirements (if applicable), and Kaiser Permanente's policies and procedures.

 

DUTIES:

Supervises the operations of the chartroom and the medical staff to assure an appropriate level of service to providers in a complex environment of off-site medical offices and satellite facilities.

A minimum of three years of previous supervision experience is required. Must have the ability to manage and direct a group of people who are working under pressure. Must have excellent organizational, problem-solving, training, and interpersonal skills. Effective verbal and written communication skills required. Basic knowledge of the operations of a medical record system and a working knowledge of an Outpatient Medical Record Department required. Must be able to work in a Labor/Management Partnership environment
