Position Title:   Financial Assistant

 

Responsible to:    Chief Financial Officer



Status:   Full-time, non-exempt

 

 

RESPONSIBLE AND DUTIES:

 

1.-  Enters vouchers into accounts payable system, verifies accuracy and prepares accounts payable checks.  Assures accuracy of purchase orders and invoices.

 

2.-  Participates in  agency payroll, maintains payroll records and assures timely payment of payroll taxes and other employees withholdings.

 

3.-  Maintains personnel files, including drivers license, proof of insurance, W-4 and I-9 documents.  Assures correct documentation of personnel status changes.

 

4.-  Maintains, updates and documents individual Paid Time Off records and cumulative balances.

 

5.-  Prepares, documents and assists with annual independent audit conducted by funding sources.

 

6.-  Assists in maintenance of administrative offices.

 

7.-  Matches receiving documents to purchase orders and prepares voucher for data entry.

 

8.-  Types reports and correspondence as required by Administrative Service Manager.

 

9.-  Performs other duties as required by the Administrative Service Manager.

 

10.  Prepares Medicaid billings.

 

QUALIFICATIONS:

 

1.-  High School Diploma or equivalent.  Some college business and accounting coursework preferred.

 

2.-  Minimum of two years of experience in accounts payable and payroll.

 

3.-  Knowledge of accounting, financial and statistical reporting systems.

 

4.-  Ability to use automatic office systems and word processing equipment.
