Medical Education Director of Operations

BGB Mission/Therapeutic Areas: 

We are a medical education agency located in New York City. Our mission is to design and implement both educational programs and marketing materials that support our pharmaceutical clients' promotional objectives. Our therapeutic areas are cardiology, neurology and vascular medicine, mental health and oncology. The pharmaceutical brands we work on are blockbuster brands for leading pharmaceutical companies. Our agency develops both print and multimedia products and coordinates a variety of medical education tactics, including: slide decks, sales aids, advisory boards, patient education materials, web sites, audio conferences, monographs, supplements, reprint carriers, publications, and other project related materials and communications.

 



Operations Role(s):

The Director of Operations will be responsible for the day-to-day operations of all BGB internal service departments. He/she will be the primary coordinator of all internal workflow for both internal and client-related projects; i.e. traffic, production, studio and desktop publishing.

 

In addition, he/she will co-ordinate with other relevant groups, i.e. art, copy, editorial, account service, meeting planning, finance, HR, IT and management to ensure an efficient management of customer ?work in progress?. Responsibilities will also include staffing and labor work estimation, procedure implementation and workflow, capacity planning, scheduling, traffic managing, deployment project management, and assist with IT infrastructure plan.

 

The Director of Operations will report to the Managing Director of Operations and Client Services and he/she will have the overall responsibility of executing and reporting on day-to-day activities to management with the ultimate goal of successfully operating all areas to meet or exceed qualitative, cycle time and quantitative output objectives.

 



Responsibilities:

  ▪ Estimates, manages, schedules, and reviews all client projects from kick-off to completion

  ▪ Supervise and manage all staff directly involved in day-to-day operations

  ▪ Collaborate and communicate effectively with other major departments

  ▪ Responsibly communicate with all employees on a regular basis, ensuring that staff is updated

  on policy and  procedure changes

  ▪ Maintain a high client satisfaction level with clients as well as maintaining a proactive

  relationship with all service vendors

  ▪ Interact with team to ensure proper development, maintenance, modification, and tracking of

  work, schedules, milestones, resources and deliverables

  ▪ Effectively anticipate bottlenecks with the ability to problem-solve

  ▪ Design and analyze processes and workflow. Identify opportunities for improvement and

  enhanced efficiency

  ▪ Organize operations meetings to track status and issues

  ▪ Provide contingency planning options based on technology and procurement challenges

  ▪ Enforce and oversee productivity and quality standards, and make recommendations

  regarding these standards

  ▪ Recruit, develop and train staff. Identify opportunities for growth.

 

Professional Skills and Experience:

▪ Bachelor?s degree from a four year college required. MBA is highly desirable.

▪ A minimum of 5 years of demonstrated success at a medical education marketing agency.

  Account service and production knowledge or operations experience is preferred.

▪ Strong understanding of Medical Education tactics and experience with successful execution of

  small and large scale programs is crucial.

▪ Very strong manager ? able to deal with employee issues as well as inform upper management

  immediately of any non-routine occurrences or interactions

▪ Ability to communicate staffing needs to HR, conduct interviews and manage consultant

  databases

▪ Demonstrated skills with project management tools and methodologies

▪ Demonstrated skills with process design, and management and in problem-solving

▪ Must be computer literate and knowledgeable of PC platforms. Mac experience is preferred.

▪ Excellent verbal and written communication skills, results oriented and the ability to put

organizational methodology in to action

▪ A demonstrated ability to prioritize multiple activities and projects simultaneously and to meet  

  scheduled deadlines

▪ Excellent interpersonal skills; demonstrated success in collaborating with people in a team-

  based environment; getting things done through others, and in dealing with all personality types 

  when the pressure is high

▪ Good business skills (able to engage with clients and vendors on a business level, i.e. able to

  estimate, negotiate,

  read contracts, explain things to clients and vendors in terms of cost

savings, gains in revenue, etc.

▪ Excellent organizational skills and attention to detail with the ability to parallel process

▪ Ability to work independently with initiative and foresight
