Mental Health Clinic Office Manager

 

Nystrom & Associates, Ltd, Apple Valley branch, is a dynamic, growing, Christian-based

Mental Health Clinic seeking a full-time office manager. 

 

 

Supervise Support Staff Specialists

  --Manage work schedule of staff.

 

  --New support staff orientation.

 

  --Make sure staff are productive and there is a smooth workflow. 

 

  --Run the support staff meetings and create minutes for notebook.

 

  --Fill in as needed to cover shifts.

 

  --Interview, hire, fire, and give timely job performance reviews.

 

  --Handle and deal with any support staff performance issues or problems promptly.

 

  --Keep track of employee time off requests, making sure there is suitable coverage.

 

  --Check time sheets before faxing them over to Bookkeeping.

 

2. Release of Patient Information/Special Billings

  --Create and send pre-pay invoices for records, forms, depositions, and expert testimony.

 

3. Cross Training Areas

  --Triage billing problems to Billing Manager.

 

4. Physical Plant

  --Responsible for keeping space clean and orderly.

 

  --Call janitorial service to discuss issues as needed.

 

  --Keep carpet/walls cleaned and equipment/furniture functional.

 

  --Keep break rooms stocked with supplies.

 

5. Patient Care

  --Handle difficult calls/complaints.

 

  --Maintain excellent quality in ?customer care.?

 

 

6. Miscellaneous

 

  --Copy and distribute memos from President and/or Administrative Coordinator.

 

  --Triage calls, paperwork and medication refills when nurse is gone.

 

 

  --Give New Brighton office manager a list of office supplies to order monthly being sensitive to timeliness.

 

  --Keep track of testing supplies/forms and order from Bookkeeper as needed.

 

  --Update and distribute support staff hours and birthday lists.

 

  --Coordinate with Administrative Coordinator on yearly audits for the Apple Valley location.

 

  --Plan summer company picnics and Christmas parties.

 

  --Purge/shift medical records as needed and/or at the end of the year.

 

  --Liaison to various vendors.

 

  --Other projects President or Administrative Coordinator may assign.

 

  --All management information is strictly confidential.

 

  --New clinician orientation.

 

 

 

 

QUALIFICATIONS:

 

1.  Experience working in health care facilities.

 

2. Supervisory experience.

 

3. Able to multi-task and handle stress well.

 

4. Agrees with and supports NAL Mission Statement.
