Clinical Events Coordinator

We are an independent global medical meetings and conference management company, specifically designed for the pharmaceutical and biotech industries and clinical research organizations.  We specialize in global clinical research meetings and conferences.



 

Main Purpose of the Job

 

To work with the clinical event managers to create exceptionally high quality meetings and events

 Full delegate/attendee management Liaison with clients and suppliers Continuous liaison with the clinical event managers On site operational responsibilities

 

ResponsibilitiesVenue searches as required  Attendee database creation and management Invitation distribution/rsvp tracking  Communication to clients and attendees (create, distribute, and manage confirmation mailings, welcome packs, etc.)  Organization of flight arrangements and ground transfers for all attendees and staff  Regular communication and coordination with the clinical event manager to provide updates Other tasks on an ad-hoc basis

 

TravelDomestic and international travel required  Flexibility to work evenings and weekends as necessary

 

Person Specification 

Because this role has significant customer interaction and interfaces with international delegates, the person appointed to this position should demonstrate an energetic, outgoing, and friendly demeanor, with a keen sense of professionalism and maturity.



1. Previous experience in delegate/attendee management preferred, or alternatively, broad experience in a wide range of administrative roles 

2.  Excellent planning and organization skills 

3.  Knowledge of Microsoft Word, Excel & Access

4.  Self starter; team player is essential 

5.  Excellent eye for detail 

6.  Ability to balance and effectively prioritize multiple projects and deadlines

7.  Willingness to travel in line with the needs of the business
