Groups Coordinator
Reports to Director of Client Services
As an integral part of the Client Services Team, a Groups Coordinator is responsible for creating travel solutions for a broad portfolio of Leisure Group clients, focusing on such specialties as gastronomy, art, history, archaeology, sports or performance tours. The overarching goal of the Groups Coordinator is to act as a consultant to the Travel Retailer; answering questions, providing advice on the destination, researching travel solutions, and creating the best possible itinerary.
Daily tasks include, but may not be limited to the following:Consult with clients on destinations; ensure that all client questions are addressed and anticipate client requests for a given proposal.Create proposals and written itineraries; prepare cost estimates and formal presentation of group travel packages according to client specifications. Cultivate existing client relationships by providing a high level of customer service.Identify and resolve issues with creativity, diplomacy and tact.Act as liaison between the Boston (sales & service) and Rome (ops) officesWork in collaboration with the EIS team in Rome to coordinate the overall operations of group travel programs. Finalize and deliver itineraries and travel related documents to client.Provide sales team with necessary updates on client status.Provide feedback on team policies and procedures and offer suggestions for improvements to the Director of Client Services.Offer product suggestions to marketing department for new group-oriented marketing materials.
Qualifications:Bachelor?s Degree required; although field of study is flexible, candidates with a degree in history, art, geography, Mediterranean studies, travel & leisure, tourism or a related field preferred. Ability to identify clients? needs and to consult on a variety of travel niche topics.Extremely detail oriented with a strong understanding of the importance of follow-through and timely, diplomatic communication; can cope easily with complex issues and situations.Excellent written and verbal communication skills.Ability to process information and make sound judgments.Ability to prioritize and multi-task to meet deadlines while maintaining a positive outlook. Excellent time management and organizational skills are a must. Comfortable with numbers and adept at calculations. Proficient with Excel programs.Knowledge of Italy and/or Italian language Spanish, Greek or French language skills are a plus!Experience with CRM (client relationship management) database helpful.
* This position is 40 hours per week.
* Some travel is required.
