Meeting Planner

 

Job Purpose:

Produces conventions and meetings by developing programs; arranging for facilities, speakers, services, and printed materials.



Duties:

* Determines convention and meeting requirements by establishing personal rapport with potential and actual customers and other persons in a position to understand requirements.



* Attracts attention to event by preparing promotional materials.



* Designs program content by focusing on and expanding client theme; following educational and entertainment principles; obtaining client approvals.



* Engages speakers and entertainers by matching presenter talents to program design requirements.



* Prepares exhibition hall space by assembling vendor booths according to requirements; arranging for delivery; determining electrical requirements; contracting for electrical installation.



* Prepares printed materials by identifying requirements; arranging for printing and delivery.



* Arranges food and beverage services by selecting vendors; designing menus; tasting selections.



* Maintains attendance count for conventions and meetings by recording reservations and cancellations.



* Achieves meeting planning financial objectives by reviewing and paying invoices; controlling expenses.



* Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; benchmarking state-of-the-art practices; participating in professional societies.



* Maintains client satisfaction by accomplishing related results as needed.
