Office & Hospitality Services Coordinator-0081R

Description This position is an integral part of our Facilities and Hospitality Services Team, a pivotal force in assisting employees of the firm with their hoteling, meeting and hospitality needs. Responsibilities include, but are not limited to, assisting in all aspects of customer service while presenting a professional and positive impression of the firm.

Responsibilities

Office, Hospitality, Hoteling and Internal Meeting Services.

Support various facility and hospitality functions at Ernst &Young sites ensuring that consistency, quality, and cost effective services are provided.

Arranges and coordinates facilities and hospitality services for hoteling staff.

Ensures high quality service is maintained through customer focused staff.

Has a fundamental and strategic understanding of office, hospitality, meeting and hoteling services, and can independently manage and make recommendations to area management.

May supervise and coordinate the activities of office, hospitality, meeting and hoteling services staff.

Has direct responsibility for day to day related office, hospitality, meeting or hoteling services and programs.

May monitor and evaluate performance of office, hospitality, meeting and hoteling services staff. Helps identify opportunities for staff development and cross training.

Possess in-depth knowledge of systems, tools, work routines and procedures related to office, hospitality, meeting and hoteling services function.

May assist in the development of the annual budget. Ensures that department operates within its budgetary guidelines.

Ensures firm standards are maintained. Makes process improvement and expense management recommendations.

Ensures compliance with firm's procurement policies.

May receive, log, and confirm hoteling and meeting reservations.

May receive conference room requests (food, A/V, special requests, etc.), confirms reservation, and ensures set-up.

May coordinate meals for meetings.

Ensures appropriate hoteling locker/file drawer management.

Coordinates with vendors including caterers, furniture rental, A/V equipment rental and repair, etc.

May review and prepare invoices for approval and payment processing.

May produce various utilization reports.

May update local telephone directories.

May oversee facilities work order system and manages service call responsiveness.

Assigns work requests to maintenance services staff.

Liaisons with building management and outside vendors on minor issues/projects related to HVAC, construction, moving, etc.

May coordinate minor construction (including associated furniture, technology installations, vending services, copiers, boxes, equipment etc) and configuration projects. May participate in larger projects with Americas Real Estate

May manage and maintain floor plans and construction drawings including as built drawings of the new construction and/or modifications.

Qualifications

To qualify, candidates must have:
