Travel Department Group Coordinator - Redmond, WA

Position Summary –This position is responsible for the administration of the group cruises and tours offered to WorldMark Owners for credits and/or cash through the Adventure Club and Trendwest Travel.

Description of duties, responsibilities and essential functions: 



Maintain awareness of cruise lines and tour operator’s group policies and procedures, unique features, itineraries and amenities.  Participate in the selection of itineraries, cruise lines and tour operators. Block group space, reviewing group contracts for accuracy. Develop pricing for cruise and tour offers, either in credits or cash, build and load product in Iris, the WorldMark reservations system.  Process payment of group deposits and final payments.  Develop and document booking processes and procedures.  Provide accurate information to booking agents about all tours and cruises offered; provide booking forms and information sheets. Create and maintain detailed spreadsheet for each group. Research and purchase a variety of restaurant and event tickets to offer for credits through the Adventure Club.  Build and load product in Iris; communicate offers and booking details to staff.  Maintain accurate statistics and forecasts for credit programs.  Ensure that all credit generating offers are within budgeted amounts.


Establish and maintain group calendar, detailing payment due dates, open for sale dates, and Destinations Magazine advertising dates. Develop ads and articles for Destinations Magazine; coordinate with magazine staff on timely placement of ads. Maintain accurate and updated information on the WorldMark website.  Participate in the creation of promotional email blasts.  Manage coop advertising agreements with vendors, ensuring all advertisements are in compliance with vendor requirements.

Process billing for coop advertising funds, maintaining accurate balances and ensuring utilization of all funds avail  able.

In conjunction with the Exchange Department staff, complete a detailed verification call with each group participant.  Verify and mail documents in a timely manner. 

Establish and maintain vendor contacts. Assist Event Planners with the planning and booking of specialty events as needed.  Assist in resolution of customer service issues. 



Minimum Qualifications Required - Describe the amount and type of education and experience required to perform the essential job functions, including any required certifications or professional licenses:


2 years experience booking cruises.

2 years customer service experience.

Intermediate level skill in Microsoft Office applications, including Excel.

Experience in working with travel wholesalers.

Minimum typing skill of 40 words per minute without errors.


 


 Preferred Qualifications – Describe any additional education and experience that you would like to see in this position, but that is not required for the position:


2 years experience in travel industry using an airline computer system


Certified travel consultant degree.

Advanced knowledge of WorldMark IRIS reservation system.

Advanced working knowledge in Apollo (Airline reservation system)

Working knowledge and understanding of airline tariffs, regulations and policies.
