Department Assistant, Human Resources
TITLE: DEPARTMENT ASSISTANT, HUMAN RESOURCES
Position Summary:
This position is responsible for supporting the employee relations and recruiting functions for related client groups. Responsibilities include but are not limited to; responding to employee inquiries, project assignments, recruiting related projects, and providing administrative support to the ER & Staffing Mgrs.
Major Employee Relations Responsibilities:
? Assist with response and follow up to employee inquiries regarding company policies/procedures
? Assist with processing of terminations, transfers and promotions including completion of paperwork and notification to applicable departments
? Review, audit, update, copy and reconcile Org Charts
? Maintain, distribute and establish new accounts for corporate discounts/employee perks
? Oversee bulletin board notifications and distribution
? Assisting with employee relations events including, Employee Appreciation Day, Take Our Children to Work Day, and Holiday Gift Distribution
Major Staffing Responsibilities:
? Assist with all aspects of staffing for the Associate and Intern Programs. This includes sourcing, screening,
interviewing, maintaining spreadsheets, conducting background checks, attending career fairs and handling internal/external inquiries.
? Produce written documentation for the assigned Recruiting Manager. This will include candidate acknowledgment
letters, no interest letters, referrals, unsolicited resumes, project employee extensions, offer letters and packages.
? Manage all administrative work for on-boarding of new Full time and Project Employees; background checks,
HR Net, Status Forms, File Maintenance and updating logs.
? Assist Recruiting Manager with processing New Hire Paperwork. This will include meeting with applicants and
filling out all appropriate paperwork and communicating orientation information.
? Provide administrative/clerical support as needed. This will include, but not limited to, processing Fed Ex
packages, providing copies, supply maintenance.
? Work with HRIS to ensure integrity of data and timely completion of payroll interface.
? Responsible for temp requests and background checks for client groups. This will include processing of invoices.
? Manage relationship with Background Check vendor.
? Execute all paperwork for NBAE project employees. Maintain accurate records on their employment status.
General HR Responsibilities:
? Liaison with other employee support functions such as Benefits, HRIS and Payroll
? Assist with ongoing and special projects.
? Maintain attendance tracking, Telephone list, & ?Human Resources? email distribution for HR Dept.
? Own and maintain HR Calendar
Required Skills/Knowledge:
? Strong interest and desire to learn Human Resources policies and procedures
? Excellent oral and written communication skills
? Organized, strong attention to detail and must possess a strong sense of urgency
? Ability to prioritize, multi-task and meet deadlines in a fast paced environment
? Excellent Client Service
? Computer proficiency in Microsoft applications (Word, Excel) and Internet research; knowledge of PeopleSoft and Lotus Notes preferred
? Exemplary client service and interpersonal skills
Experience / Educational Background Required:
? 1-2 years experience in a support role
? College degree with foundation in Human Resources or Psychology preferred
