HR Assistant

Primary Objective:

Provides a wide variety of administrative support to the HR Manager and the recruiting team.



Responsibilities:Supports the HR Manager and Recruiters in all areas of administrative services and special projects. Prepares offer letters and coordinates and receives background checks and drug screen results.Conducts new hire orientation and processes all new hire paperwork. Maintains and updates weekly recruiting reports.  Researches confidential employee data and runs reports as needed.Codes all invoices and processes for payment. Researches questionable invoices as necessary.Provides basic administrative support, i.e. calendar maintenance, scheduling meetings, travel arrangements, complete expense reports, answer phones, open & distribute mail, draft communications and presentations, etc.Coordinates and assists with all aspects of college recruiting.Coordinates temporary staffing needs and processes invoices.Serves as back up for the HR Field Coordinator by arranging temporary help at SSC locations, receiving background checks/drug screen results, preparing offer letters, and answering phone calls.  Works with immigration attorney and associates to facilitate the immigration process and maintains all immigration files.Assists with special projects including: Affirmative Action reporting, Succession Planning, Focal Point Merit Reviews, and 360 feedback.Tracks all departmental expenses for budgetary purposes.Creates, updates and maintains all new hire orientation packets.Keeps supervisor informed of work in progress and any problem areas.



Requirements:High School diploma or equivalent experience. Knowledge of HR practices and processes preferred.3 or more years of administrative experience; preferably in an HR department.Excellent customer service skills. Strong computer skills in spreadsheets, charts, and word-processing.  Strong oral and written communication skills.  Basic math skills.  Strong attention to detail and the ability to multi-task and meet deadlines. Confidentiality a must.
