HR Department Assistant
Position Summary:
This position is responsible for supporting the employee relations and recruiting functions for related client groups. Responsibilities include, but are not limited to; responding to employee inquiries, project assignments, recruiting related projects, and providing administrative support to the Employee Relations Manager and Recruiting Manager.
Major Employee Relations Responsibilities:
? Assist with response and follow-up to employee inquiries regarding company policies/procedures
? Review, audit, update, copy and reconcile Org Charts
? Process terminations, transfers and promotions including completion of paperwork and notification to applicable departments
? Assist with documentation of ER issues and monthly ER Reporting
? Maintain new accounts for corporate discounts/employee perks
? Research, coordinate and communicate Employee Programs, and assist in the coordination of other employee programs including Parent Seminars, Wellness Seminars, Backup Child Care program, Regulatory postings
? Handle adhoc project requests
? Processing of paperwork and keeping Employee Relations Manager aware of headcount changes.
Major Staffing Responsibilities:
? Produce written documentation for the assigned Recruiting Manager. This will include candidate acknowledgment letters, no interest letters, referrals, unsolicited resumes, project employee extensions, offer letters and packages.
? Manage all administrative work for on-boarding of new Full time, Part time, and Project Employees; background checks, HR Net, Status Forms, File Maintenance and updating logs.
? Assist Recruiting Manager with processing New Hire Paperwork. This will include meeting with applicants and filling out all appropriate paperwork and communicating orientation information.
? Provide administrative/clerical support as needed. This will include, but not limited to, processing Fed Ex packages, providing copies, and supply maintenance.
? Work with HRIS to ensure integrity of data and timely completion of payroll interface.
? Responsible for temp requests and background checks for client groups. This will include processing
of invoices.
? Get involved in projects that assigned Recruiting Manager is working on.
? Work with Recruiting Manager to staff entry level and project employee positions.
General HR Responsibilities:
? Liaison with other employee support functions such as Benefits, HRIS and Payroll
? Assist with ongoing and special projects
Required Skills/Knowledge:
? Excellent written and oral communication skills
? Organized, strong attention to detail and must possess a strong sense of urgency
? Ability to prioritize, multi-task and meet deadlines in a fast paced environment
? Excellent client service
? Computer literate in Microsoft applications (Word, Excel), and Internet research
? Computer literate in Peoplesoft and Lotus Notes preferred
? Knowledge of an experience in using Applicant Tracking Systems
? Exemplary client service and interpersonal skills
? Strong interest and desire to learn Human Resources policies and procedures
? Team player
Experience Needed:
? 1-3 years experience in an HR support role
Educational Background Required:
? College degree with foundation in Human Resources, Psychology or Communications preferred
