Human Resources Assistant / Clerical Assistant

R.A.B. Food Group, LLC, a Nationally recognized Specialty Food Company, based in Northern New Jersey, seeks a Human Resources Assistant.

 

The HR Assistant provides administrative support for the various disciplines within Human Resources. Interaction for this position is with employees at all levels of the organization and there is frequent contact with external organizations or individuals.Essential Job Functions:

 

Provide administrative support for the department, including special projects as assigned.

Provide backup for switchboard coverage.

Respond to incoming calls to Human Resources, resolving if possible or forwarding appropriately.

Greet department visitors, directing them to appropriate staff member(s).

Coordinate receipt and distribution of new hire paperwork; review documents for accuracy for inputting into HRIS.

Assist with administration of designated HR processes & Benefit programs.

Send faxes and Fed Ex's, copy invoices and other documents, respond to employee requests for forms, booklets, claim forms, etc.

 

Processing of all personnel changes.

 

Insurance, Retirement Savings Plan and COBRA administration, and processing.

 

Report generation as needed.

 

Coordination of company events and recognition programs.

 

Compilation of orientation packets and applicable HR forms.

 

Prepare distributions for sales incentive compensation; assist with mass distributions

Ability to prioritize tasks and ensure accuracy of own work

Tact, diplomacy, discretion and judgment and ability to cope effectively and efficiently with a highly diversified office routine.

Proficiency with Microsoft Office Suite software.

Thorough knowledge of office practices and procedures.

Excellent organizational and administrative skills.

Ability to effectively handle normal workplace stress and/or pressures

Ability to handle confidential information.

Excellent interpersonal skills to deal with employees at all levels in the organization as well as outside vendors.

Flexible, innovative and resourceful with excellent oral and written communication skills.

Ability to manage a workload which may often include more than one high priority task/responsibility.

Special projects when needed.

 

Mail, phones, data entry, resume retrieval/ printing.

 

Assist the HR Director with all related job functions and projects.

 

Typically requires a high school diploma with relevant administrative support experience.

 

Bi-lingual Spanish / English a must
