Position Overview:
Under general supervision the Human Resources Records Specialist processes as well as oversees the processing of all personnel actions for faculty and staff, creates, maintains, updates, and oversees the employee database and employee personnel files, and audits and maintains Employment Eligibility Verifications. The Human Resources Records Specialist evaluates and determines the proper personnel and coding appropriate for individual employees, enters the appropriate codes into the database, initiates and monitors the process, and generates standard reports as scheduled. Ensures accuracy and integrity in the input of data from PAFs, source materials and documents to the HR database. Maintains the HR database. Provides HRIS support to HR functional units. Designs and prepares and hoc reports as needed. Ensures integrity and security of confidential employee data. Provides data entry for all personnel changes into the system. Ensures integrity of data through the continued maintenance and monitoring of the HRIS System. Coordinates exit interviews.

Duties and Responsibilities:
-Responsible for timely and accurate processing of faculty and staff Personnel Action Form(s) (PAFs).
-Responsible for data entry for all PAFs, maintaining employee records in IFAS.
-Develops and maintains yearly Human Resources transaction schedule.
-Purges I-9 and pre-employment files for all terminations according to retention laws.
-Files all documents on a timely basis.
-Ensures integrity and security of confidential employee data such as employment status, pay, benefits, etc.
-Maintains a log of all staff and faculty PAFs. This includes timely and accurate logging documents in and out.
-Assists in the maintenance of IFAS procedures.
-Participates in various special projects.
-Assists in the maintenance of IFAS tables, clusters, attributes and code tables.
-Assists with the development of internal procedures and controls for personnel processing.
-Assists with the termination process, including scheduling exit interviews, contacting finance for financial clearance, preparing correspondence, obtaining final check from payroll.
-Run Standard and ad hoc reports.
-Initiate timely personnel actions in accordance with personnel policies and procedures.
-Responsible for the maintenance of Personnel file system. Ensuring termination files are transported to storage in a timely manner.
-Perform other related duties as assigned.
