Contracts Administrator

This position serves as an individual contributor under the direct supervision of the Manager, Contracts Administration.  The team receives new contract proposals and determines fit and feasibility for process execution within the GMS Customer Service system environment.  The team manages the data entry, data load process, maintenance, and administration of contracts both directly and through SLA's with PBI Shared Services organization.  The team ensures that PB is presented to the customer as one company if business opportunities span across areas.  The Manager, Contracts Administration is responsible for business process design and system optimization that enables growth of the MVS business.  In this role, the Contracts Administrator is the Subject Matter Expert and supports the unique billing requirements for specific Multi Vendor Services customers by:

* Determining the feasibility of contract execution in the presale stage and translating the contract T&Cs into parameters in our business systems.

* Handling the data entry, data load processes, maintenance, such as contract adjustments, and administration of the contracts both directly and through SLA's with PBI Shared Services organizations.

* Producing customized invoices while maintaining the integrity of the system contract files and customer information. 

* Assisting the Manager in continuous improvement efforts to sustain expected business growth by interfacing with business partners, such as Sales, IT, and the Field Service organization.

* Interfacing with business partners, such as Sales, IT, and the Field Service Organization to understand their needs and translate the needs into business process and system requirements.

* Handling and resolving billing discrepancies, internal and external customer inquiries.

* Auditing and reviewing contracts to ensure that customer billing accurately aligns with contract agreements.

 

Accountabilities

* Evaluates contract proposals for feasibility in terms of system support

* Handles data entry, data load processes, and system contract maintenance

* Interfaces with Sales, IT and Finance to resolve billing issues as they relate to the business systems

* Serves as escalation point for the Field Service organization regarding MVS billing issues

* Accurately prepares and produces invoices according to the established customer requirements within established timelines

* Interacts with internal and external customers to identify or clarify needs maintaining a high level of professionalism

* Serves as the Subject Matter Expert for Multi Vendor Services billing and continuous improvement efforts



* Bachelors degree preferred or a minimum of at least four to five years comparable business experience and use of business systems.

* 3 plus experience auditing and reviewing contracts to ensure that customer billing accurately aligns with contract agreements.

* Experience interfacing with business partners, such as Sales, IT, and the Field Service Organization to understand their needs and translate the needs into business process and system requirements

* Excellent written and verbal communication skills are required.

* Focused on accuracy with specific attention to details.

* Understanding of business processes, environmental and IT technologies preferred.

* Strong understanding of financial and performance reporting measurements is required.

* Solid organizational skills with the ability to prioritize.

* Ability to work within time constraints and meet deadlines.

* Proficiency in Microsoft Excel and Microsoft Access preferred.

* Proven ability to function in a team setting, navigate intimidating organizational obstacles, diffuse emotionally charged dispute situations and escalate concerns to proper functions and roles.
