PMO Lead - Enterprise IT Global Cash Utilities

The UBS Investment Bank based in Stamford, Connecticut is seeking a PMO Lead for the Global Cash Utilities program. The GCU Program is a strategic imperative for UBS and represents a business transformation initiative that ultimately improves global cash management, risk and capital adequacy as well as reducing operational cost. The transformation has a number of dimensions including the business-operating model, the business process and the technology platform with ramifications ultimately for each of the business hubs in Zurich, London, Stamford and Hong Kong/Singapore.
The GCU US Program focuses on the replacement of the Payments, Cash and Current Accounting applications in the US and incorporation into the GCU Global Operating model. GCU US is now moving into the Delivery phase, incorporating Detailed Design, Build, Test and Implementation. The Program will have a phased implementation with Technology deliveries from two main build factories (London & Zurich) and dependencies on upstream global applications and other strategic delivery projects.
The PMO Lead will provide managers with consistent, timely and accurate management information to support decision-making and operate the control infrastructure of our major change program. This position will be responsible for regional program support for the Global Cash Utility, a key global change initiative within UBS. The PMO will be an integral part of the IT team, providing project management support, communications development, and global project coordination. This individual will be responsible for risk/issue monitoring, project plan development and tracking, stakeholder communications, requirements workshop coordination, and instilling project best practices with appropriate standards and tools. This individual will be key to Senior IT managers in developing presentations, distilling key messages/concepts for discussion with senior members of the business and IT.
An understanding of project planning, resourcing, and bottom-up costing is beneficial as a key responsibility will be to track and report on program financials. Due to the global nature of the GCU initiative, the NA PMO's coordination with the lead PMO structure in Zurich is a critical element of success. This individual must mobilize global processes and standards, monitor deliverable quality, and provide transparency to project status in North America. The GCU strategic initiative and the client & logistics functions are complex, global programs requiring an individual with strong written communication skills and an ability to facilitate cross-team integration. With the key goals of this position to support decision-making and to provide transparency to Senior IT Managers and the Business, the successful candidate will have a strong desire to learn, a "can do" attitude, and a desire to look for ways to continually improve existing processes.
This is a highly visible role, with exposure at Managing Director level in ESS IT as well as with the business. As part of a flexible PMO team, there will be immediate opportunities to share best practices and contribute beyond the immediate scope of the role. Depending on aptitude and preferences, the successful candidate will have the opportunity to develop either into a broader management support role or a project management role
Key Responsibilities:
* Developing and maintain project plans, progress scorecards, milestone tracking, risks/issues, and other key performance metrics
* Coordinate workshops, stakeholder communication sessions, and documentation gathering for multiple projects
* Rapid response to ad-hoc management requests
* Provide meeting documentation and ensure action item follow-up
* Provide transparency to the business by developing communications to Programme Stakeholders, Steering Committees, and Executive Committees
* Deliver concise and clear project, business stream, and programme level status reports
* Develop and maintain resource and cost plans
* Become a single-point of contact for key management inquiries
* Mitigate management overhead and optimize management effectiveness by supplying Chief of Staff support to Senior Managers
* Contribute to the project website and supporting communication tools
* Provide advice and quality control around project management procedures, promoting adherence to UBS standards across multiple projects
Basic Qualifications
* A four year bachelor's of science degree in Computer Science, Communications, Business Administration or field of study directly related.
* A minimum of 2 years work experience in a Project Management Office capacity.
Preferred Qualifications
The preferred candidate will have
* 2 plus years previous work experience in a Project Management Office Lead capacity or similar work experience in a Management Consulting or Financial Services PM Office.
* Extensive and proficient experience (how much ?) with Microsoft Office Applications including Powerpoint, Excel, Word, Project and Access is mandatory.
* Advanced MS Excel and MS PowerPoint skills is a decided asset.
* MS Access database development an advantage.
* Clear verbal and written communication in English and interpersonal skills.
* Experience in handling project management information effectively.
* Experience working on large scale projects/programs
* Experience within an IT PMO project management environment
* Ability to multi-task and work as part of a global team
* Experience in managing project financials
* Statistical knowledge is desired
