Facilities Coordinator

SUMMARY:   The Facilities Specialist manages the daily operations and a wide range of facilities/office services responsibilities for assigned building. Performs maintenance duties, ensures building systems are operational and functioning properly at all times, facility troubleshooting, and repairs. Manages all space planning including managing building space, coordinating internal/external moves and construction projects. Provides office services to all employees working in assigned building by addressing all requests and issues. He/she is expected to manage and build relationships with onsite providers, vendors and contractors. On call 24 hours/7 days a week to handle all after hours building and equipment emergencies.

 

DUTIES AND RESPONSIBILITIES:
Handle various tasks and respond to employee requests i.e., hanging pictures, installing keyboard tray, repairs, temp adjustments, medical emergencies, etc.
Space planning including projecting space needed by business units and work with dept heads and HR to assign appropriate space.
Maintain and update floor plans regularly through AutoCAD
Oversee routine facilities maintenance activities, to include snow removal, outside grounds, change light bulbs and other routine maintenance tasks as required.
Contacts and coordinates external services to schedule repairs.
Oversees the cleanliness of the property
Ensure a clean working environment for employee as well as safety and security
Inventory control
Manage vendor contracts, monitor and assist in coordinating maintenance and repairs with vendors/contractors as well as ensure that preventative maintenance on building systems are being completed according to the contracts and in a timely fashion (Heating systems, cooling systems, boilers, and plumbing systems, etc.)
Set up all AV equipment for scheduled meetings
Walk through the building daily and create punch lists
Coordinate all special projects/events as required with business units and upper management (town hall meetings, blood drives, picnics, etc.)
Schedule and coordinate all internal/external moves with business units
Respond to emergencies and produce written incident reports
Perform monthly audits to ensure that employees are in compliance with corporate standards and provide reports to manager.
Systems and office furniture reconfiguration, add-ons and take-downs
Maintains records, provides lists and facility reports on all maintenance and move activities including occupancy and vacancy reports.
Produce operational efficiencies, cost savings and other ideas and initiatives
Communicate with management team and employees written and orally
Perform miscellaneous facility and office service duties and other job-related duties as assigned

Must be mechanically inclined and hands on
Ability to work independently and self-motivated
Knowledge of AutoCAD
Advanced computer skills /knowledge of Microsoft Office
High School Diploma required
Hold or willing to pursue SMA and/or FMA certification and boilers license

DISTINGUISHING CHARACTERISTICS:Position Requires: a) Overseeing maintenance/custodial operations for a facility, b) Contracting service agencies to work, and monitoring work performed by onsite providers (D) Maintaining inventories and purchasing materials as necessary. WORKING CONDITIONS AND PHYSICAL EFFORT: Requires lifting, pushing, or pulling required of objects up to 50 pounds
