Administrative Services Supervisor
Argonaut Insurance Company is a subsidiary of Argonaut Group, Inc. a leading national specialty underwriter. We offer exceptional workers? compensation claims and safety services to upper middle and large account markets for a variety of industries as a third-party administrator.
Argonaut Insurance Company has an exciting and challenging opportunity for an Administrative Service Supervisor located at our Philadelphia, Pennsylvania office. The primary purpose of this position is to direct and supervise staff to provide general administrative support to our Claims Department.
The primary responsibilities are:Supervision of clerical facilities and staff. This includes but is not limited to:
o Mentor and develop employees and provide opportunities for staff development. Work with team to improve processes. Continue to develop and foster a team environment.
o Facilitate staff development by providing and recommending technical and non-technical training. Ensure staff is properly trained in all aspects of proper accounting procedures and customer service.
o Ensure that the team provides exceptional customer service to customers (mostly internal departments and employees). Communicate with all members of the team to resolve issues. Coach employees as needed on technical and customer service issues.
o Determine work procedures, prepare work schedules and expedite workflow. Issue written and oral instructions.
o Assist in interviewing, selection, and hiring of staff as needed.
o Performance Management: Write timely and accurate performance appraisals of staff. Provide feedback to setting salaries and raises. Resolve employee issues. Continuously document employee performance and provide feedback to employees. Discipline employees as needed. Recommend staff terminations as needed.
? Ensure professional receptionist coverage that results in caller satisfaction and timely routing of calls to the appropriate party on the first transfer.
? Ensure timely and accurate distribution of mail to appropriate staff and timely and accurate posting of outgoing mail.
? Maintain and order office supplies in a cost effective manner.
? Servicing of computer back-up tape
? Ensure proper administrative support so that claims are entered into our system and files set up within five business days, but preferably three.
? Evaluate and process all invoices relating to office operations within three days of receipt.
? Coordinate with IT department in the operation and maintenance of office systems (telephones, computers, copiers, etc.) to ensure minimal loss of production due to systems problems.
? Ensure smooth workflow of clerical work in office.
The job requirements are:Must have good business acumen (i.e. understand how an insurance company works and makes money, including how this role impacts both Argonaut?s and our customers? ability to be profitable).At least five years supervising staff.
? Superior organizational and problem solving skills; excellent leadership and management skills.
? A self-starter and highly motivated individual who demonstrates the ability to exercise sound judgment and provide recommendations to management.
? Must remain flexible and organized in a fast paced environment.
? Ability to meet tight deadlines is essential
? Ability to prioritize workload and handle multiple tasks.Strong technical accounting and analytical skills, with exceptional attention to detailStrong PC skills, particularly with MS Excel and enterprise systems (Oracle preferred)Polished and professional written and verbal communication skills. The ability to read and write English fluently is required. The ability to read and write Spanish fluently is strongly preferred but not required.Ability to work independently with minimal supervision
