Overview:
As the Administrative Assistant you will provide support, project coordination, and general administrative assistance for the Litigation Counsel and their team to enable the department to perform at target levels. This role requires the ability to keep and protect confidential information, multi-task, determine and set priorities and form a trusted relationship with the lawyers to anticipate and address their needs. Must exercise independent judgment and initiative and accomplish tasks without direction.
Essential Accountabilities:
Learn organizational structure and cultivate good relationships with clients, other lawyers within the company, as well as outside counsel to facilitate positive and productive interactions.
Receive, screen and appropriately resolve external and internal inquiries (telephone and e-mail) to Litigation Counsel in a prompt and professional manner.
Manage and prioritize Litigation Counsels calendar and appointments
Solicit information, compose, edit and prepare reports and initiate or review correspondence
Assist in the preparation and management of the annual budget. Verify accuracy of monthly expenses.
Prepare and track invoices for outside counsel fees, expense reports and other expenses.
Make travel arrangements for the Minneapolis Litigation department. Coordinate all meetings and provide appropriate itinerary.
Develop and maintain attendance (PTO), personnel information, strategic planning, performance reports and other business management information.
Coordinate and maintain internal and external vendor relationships, including Administration, Finance, Human Resources and information technology.
Submit and track departmental requests for furniture, directory access and equipment refresh.
Facilitate/track status of on-going projects, routine reports and related meetings.
Prepare minutes and track open issues for team meetings.
Coordinate events, presentations and other projects, including the preparation of Power Point presentations.
Requirements:
Associates degree or equivalent work experience
2-3 years of experience as an Administrative Assistant in a business or legal environment
Intermediate to advanced Microsoft Windows, Excel, Outlook, PowerPoint
Typing 50 wpm
Dependable, loyal, resourceful and innovative with ability to understand level of confidentiality appropriate for the role
Self starter with initiative
Strong problem solving and decision-making skills with focus on high level of customer service
Demonstrated organizational skills
Professional demeanor with exceptional communication skills (verbal & written)
Ability to produce high quality detailed work accurately and on-time
Team player
Ability to work overtime as needed
