ABOUT THE OPPORTUNITY
Boies, Schiller & Flexner LLP is currently seeking an experienced File Clerk to work in their New York City office. The scope of responsibilities for this position include the following: Filing
? Facilitate the movement of file boxes to their appropriate place of storage in a timely manner, including boxes stored on-site as well as off-site.
? Maintain an up-to-date record of the location of file boxes.
? Maintain File Management System of correspondences, pleadings, discoveries, work products, etc.
? Create PDF documents of incoming and outgoing materials, file all documents appropriately in the shared database, create reports/file indexes using Access, create filenames and labels, and retrieve files for Case Managers.
? Maintain log of off-site storage; processes storage and retrieval of files.
? Review and organize materials at the direction of case managers.
General OfficeOperate standard office equipment such as photocopiers, fax machines, personal computer.Distribute faxes to appropriate Legal Assistants for proper distribution to courier. Process FedEx packages going out for delivery. Coordinate large copy jobs and scanning jobs with vendors.Back up Office Services personnel as needed.
QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily and maintain a high standard of ethical conduct. Excellent interpersonal skills are required for interactions with all levels of Firm personnel, clients and vendors. Strong organizing and researching skills are required, which should include Internet research; strong client service orientation and excellent communication skills.
Education and/or Experience:
Two years of college or one to two years related experience and/or training; or equivalent combination of education and experience. Up to a year experience in a law firm or similar environment preferred.
Language Skills:
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures or governmental regulations. Ability to multitask. Ability to write emails and business correspondence. Ability to effectively present information and respond to questions from attorneys and clients.
Technical Skills:
Basic typing skills and knowledge of PC and Microsoft Office products, such as Word, Access, Outlook, Power Point and Excel.
