Law Office Manager/Administrator
Immediate opening for an experienced Law Firm Administrator/Manager for newly established position to manage the overall daily operations of a long-established, 30 employee, lower Hudson Valley law firm. The Administrator will work closely with the Management Committee and Partners to identify and plan for the changing needs of the office, for strategic planning, financial planning and ensuring cost-effective management throughout the office.
Summary of Responsibilities:
Financial Management: Includes management of full-charge bookkeeper and part-time billing clerk, forecasting, monthly budgeting, variance and profitability analysis, financial reporting, cash flow control inclusive of billable hours, billing and WIP, and other financial management functions.
Human Resource Management: Includes staffing analysis, recruiting, training, supervision and development, performance evaluation, employee relations, motivation, disciplining, discharging, benefits administration and management of part-time benefits administrator, personnel data systems and other human resource management functions.
Technology Management: Includes systems analysis and development, records management, office automation, document construction systems, information storage and retrieval, telecommunications and other systems management functions.
Facilities Management: Includes management of full-time and part-time file clerks; space planning, purchasing, inventory control, records storage, reception/switchboard services, telecommunications, mail, office services and other facilities management functions.
Marketing: Includes development, preparation and implementation of a strategic marketing program; creation, tracking and analysis of all advertising venues; maintenance and enhancement of the firm?s visibility and image in the desired markets.
Qualifications for our ideal candidate will include: ?Demonstrated ability as an outstanding leader with strong relationship-building skills. ?Ability to identify and analyze issues and problems, then recommend, achieve consensus and implement solutions. ?Ability to manage office functions economically and efficiently, to organize and delegate work, and establish priorities. ?Excellent interpersonal, verbal and written communication skills with the ability to take action among a diverse group with varying needs. ?Excellent organizational skills and a strong sense of integrity. ?Demonstrated ability to multi-task. ?4 year degree or equivalent experience; MCSE (and other Microsoft certifications) a plus. ?5+ years of relevant law firm management experience including finance, marketing, human resources, technology, and facilities.
