Legal Administrative Assistant (JP-956)

TRANSAMERICA REINSURANCE, a leading life and annuity reinsurer, is looking for a Legal Administrative Assistant (JP-956) to join our office in Charlotte, NC.  Transamerica Reinsurance is a leading provider of reinsurance and consulting services for companies which underwrite life, annuity and accident & health business.  It maintains reinsurance treaties in the United States, Latin America and Asia-Pacific.

 

Transamerica Reinsurance continues to direct sales and marketing efforts at the top financial services companies, employing a consultative, value-added approach to the market.  AEGON, N.V. acquired Transamerica in 1999, improving its financial strength and enhancing access to capital and new business alliances.

 

Major Responsibilities
* Provide administrative support to two attorneys in the law department.
* Establish, organize and maintain accurate, well-organized, up-to-date general, pending and confidential files for management.
* Log and track documents and/or maintain and update databases as required.
* Be at all times an "ambassador" to internal & external clients and business contacts.
* Follow legal controls and procedures to protect the company's best interests and confidentiality at all times.
* Identify and communicate important issues.
* Use advanced functions of Microsoft Office application to compose, type and proofread a variety of general and confidential correspondence, reports, pleadings and presentations.
* Take and transcribe dictation, using either shorthand or Dictaphone, resulting in error-free word-processing documents and spreadsheets.
* Prepare and maintain budget and variance reports.
* Coordinate with other administrative assistants to effectively administer the law department's processes.
* Schedule business trips, conferences and meetings; coordinate participants; arrange travel plans.
* Complete special assignments and projects as required.  May assume reasonability for continuous learning along with quality productivity improvement.
* Other duties as required for the position.

 

Minimum Requirements
* Solid track record of providing exceptional customer service.
* 2+ years as a self-directed executive legal assistant.
* Thorough knowledge of Microsoft Office applications.  Strong keyboarding skills with high accuracy and speed.
* Excellent interpersonal skills.  Ability to consistently convey a friendly, helpful attitude and professional image of the company.
* Ability to balance numerous priorities and meet deadlines while maintaining utmost professionalism.
* Proven ability to understand and act on time-sensitive information and maintain confidentiality.
* Communicate effectively verbally and in writing with all levels of management and clients.  Strong organizational skills.  Ability to work independently and in a team environment.  Handle problems with tact and discretion.
* Regular attendance is an essential function of this position.  Ability and willingness to work overtime as required by business needs.
* Team player with a sense of urgency.

 

Desired Characteristics / Skills
* Insurance or reinsurance experience and/or insurance education (include completing HIAA, LOMA, etc.) preferred.
* High School Diploma with some college experience
* Enthusiastic, take-charge approach to getting the job done.
