Legal Assistant - Franchise Support
This position will be responsible for providing advanced and confidential administrative duties supporting Corporate Counsel in the preparation of legal documents in the area of franchise and general matters.
KEY DUTIES/RESPONSIBILITIES:
Performs various administrative duties, including: answers and screens incoming phone calls, responds to questions or forwards to appropriate personnel; opens and distributes mail; makes copies and transmits fax communications; assembles, schedules and coordinates appointments, teleconferences, meetings, travel arrangements; calendars legal deadlines; creates, organizes and maintains department files; maintains MCLE credits log for California and advises attorneys of credit needed; ensures the appropriate personnel are notified of important matters.
Composes, types and distributes legal correspondence/memorandum, standard letters and forms, outside counsel engagement letters as needed; researches files and internet; compiles and summarizes data for preparation of various reports, projects, or budgets, creates charts, prepares graphic slides, merges files, creates and maintains multiple databases; prepares expense reports and invoices. Coordinates the reporting of California state political contributions/lobbying expenses with outside law firm on quarterly and semi-annual basis.
Organizes and prioritizes assignments, contacts various personnel to obtain or provide requested information, reviews materials to ensure accuracy and distributes to appropriate personnel within established timelines, takes initiative to follow-through on pending matters. Notarizes documents as needed. Regularly works with confidential or sensitive subject matters.
May coordinate ethics seminars for CSC and regional staff, including: arranges meeting dates/times and locations, confirms availability, prepares agenda and presentation materials, arranges for audio-visual equipment, and takes initiative to ensure all seminar details have been addressed for a smooth-running seminar. Coordinates attendance at various regional business and political functions.
QUALIFICATIONS:
Education - High school diploma or GED required. Some college level business courses or vocations training preferred.
Experience - Minimum of 4-5 years administrative/secretarial experience in a professional environment, preferably in corporate law or a law firm. Certified Notary or ability to pass state board exam required.
Skills/Knowledge/Abilities ? Sound knowledge and understanding of business and legal terminology. Excellent oral and written English communication skills, organization skills and interpersonal skills. Ability to attend to detail and produce quality work. Working knowledge of personal computers and related software applications (Microsoft Word, PowerPoint, etc.).
