Legal Operations Assistant
Operations Assistant
This is a great opportunity for someone who is looking for a change of scenery. We are currently recruiting for an Operations Assistant to work at a medium-sized midtown law firm. If you have strong multi-tasking and administrative skills, then this job is right for you! The major duties are listed below:
-Provide administrative support to the Director of Administration and Operations Manager.
-Process, reconcile, review for accuracy, and file vendor invoices and prepare for payment.
-Maintain monthly budget summary spreadsheet.
-Interact with attorneys, management, staff, and individuals from outside the Firm.
-Respond to routine administrative inquiries as appropriate.
-Assign, activate or de-activate security/building ID?s; maintain security log.
-Track arrivals, departures and office moves; coordinate with Office Services.
-Order stationery, office signage, and gift baskets.
-Issue and track logins.
-Effective calendaring and scheduling support for Operations Manager and Director of Administration.
-Make travel arrangements and process related expenses.
-Relief reception daily from 4:30 PM to 6:30 PM.
Requirements:
-High school diploma or equivalent. College degree preferred.
-Two + years of challenging administrative experience in a law firm or similar environment.
-Must demonstrate superior written and oral communication skills.
-Must have exceptional attention to detail and organization skills.
-Must successfully utilize time-management skills in setting priorities and performing tasks.
-Capable of demonstrating ability to remain focused under pressure situations.
-Strong Word and Excel skills.
