Job Description: Provides strong customer service while performing the duties of the Office Services Clerk. These duties include responsibilities for the reproduction center, mail processes, conference services and facilities. The Office Services Clerk performs as part of the Office Services team to ensure that all Office Services tasks and challenges are met with both efficiency and courtesy.
DUTIES AND RESPONSIBILITIES:
Primary:
1. Reproduction Center: Perform complicated copy jobs under time constraints; scan documents to PDF using ECopy interface; operate paper drill, Velobinding machine, spiral binding machine; send faxes and route completed transmissions; perform user level maintenance to copiers, fax machines and other reproduction center equipment.
2. Interoffice/US Mail/FedEx: Log and distribute incoming morning UPS and FedEx deliveries; distribute morning pouches from other Winston & Strawn LLP offices; collect and distribute interoffice mail throughout the day; lift, handle and move boxes weighing up to 50 pounds; meter and charge outgoing US mail; prepare the afternoon pouches going to other Winston & Strawn LLP offices; generate FedEx labels online; perform outside delivery runs of mail, FedEx and other packages.
3. Conference Rooms/Guest Offices/Pantries/Lunchroom: Promptly prepare and place conference room set-ups adhering to the high standards of the Firm, interact courteously with all guests, clients, attorneys and staff; set-up and maintain guest offices; stock and maintain lunchroom and pantries throughout the day; clean and straighten conference rooms, prep areas and lunchroom at close of shift.
Secondary: Learn, perform and cover opening and closing duties and shifts when needed; Assist with facilities projects as assigned; inspect, correct and/or report facilities concerns regarding light fixtures, public are window blinds and cleanliness of walls and carpet; special projects as assigned.
QUALIFICATIONS: Knowledge of reproduction center equipment; ability to follow procedures, instructions and directions; ability to interact with all levels of personnel; good oral and written communication skills; ability to lift 50 pounds on a repeated basis; ability to consistently perform a mid-morning to early evening shift; willingness and ability to cover 8:00 a.m. to 4:00 p.m. shift or 11:30 a.m. to 7:30 p.m. shifts when needed; willingness and capability to stand for extended periods of time throughout the day.
