Practice Support Administrative Manager

My client, a prestigious international law firm, is seeking a Practice Support Administrative Manager for its New York office.

 JOB DESCRIPTION:

 

A strategic position responsible for managing the administrative areas of the Practice Support Group?s (PSG) operations including timekeeping, billing, expense management, human resources, and facilities management; responsible for promoting the productivity and profitability of PSG?s timekeeping staff and providing administrative support and mentoring to the PSG Eastern and Western Regional Managers and Managers of Technical Services, Project Management, Electronic Discovery Services.

 

Responsibilities:

? Implement standard billing requirements for all PSG job classifications.

? Ensure accurate and timely recording of billable time by all staff; review monthly billing and   realization reports to ensure that staff is productive and meets billable requirements.

? Work with other PSG managers and, when necessary, billing partners and litigation management to   promote the billing of all PSG services.

? Work with CFO, litigation management, and others to implement an updated timekeeping and billing model; review timekeeper billing rates and related industry trends; collaborate with Director   of Practice Support to evaluate alternative methods for billing of practice support services.

? Serve as liaison between PSG and other Firm administrative departments including, Accounting   and Finance, Human Resources, and Facilities in the management of PSG?s operations.

? Collaborate with PSG managers to:

? Conduct corrective discussions with staff as needed; assist in the performance of annual   performance appraisals.

? Promote and enforce compliance with the Firm?s policies and procedures.

? Determine appropriate space allocation and related needs.

? Assess staffing needs, recruit candidates, conduct interviews, and make hiring recommendations.

? Achieve more effective resource and work load allocation; maximize staff productivity and   utilization of department?s resources.

? Implement training and mentoring programs for new hires.

? Implement individualized training and development program for  existing staff.

? Coordinate requests for contract attorney document reviewers; oversee related logistics as follows:

? Establish relationships and contractual agreements with providers.

? Manage logistics of housing contract attorney reviewers.

? Develop and implement mechanism for billing related Firm overhead.

? Coordinate with attorneys regarding related client contract and billing issues.

? Research and report on alternative systems for delivery of practice support and document review services.

? Provide training and mentoring to other managers in the area of finance, human resources, budgeting and other operational functions.

? Promote quality, cost effective client service by setting and maintaining standards for PSG staff in   all areas.

? Perform other duties as may be required by the Firm.

 PRIMARY Job Requirements:

? Bachelor?s Degree

? 3-5 years experience in a law firm environment

? 3-5 years supervisory/management experience with strong component of human resource development and  management

? Strong grasp and knowledge of legal practice support technology

? Good verbal and written communication skills

? Ability to exercise good judgment in sensitive or stressful situations

? Professional appearance and demeanor
