Customer Service/Planning Supervisor

POSITION: Customer Service/Planning Supervisor

 

DEPARTMENT: Operations

 

LOCATION: Hudson, MA

 

SUMMARY

 

As the Customer Services/Planning Supervisor you will provide the leadership necessary to achieve corporate and sites sales goals and initiatives to assure best in class customer support as well demonstrate the ability to effectively take charge in difficult situations. 

 

RESPONSIBILITIES

 

 

? Responsible for training subordinates in policies and procedures.

? Provide Return Material Authorization (RMA) numbers for returns after receipt and evaluation of rejected samples.  Prepare and forward RMA forms to appropriate departments.

? Analyze customer?s requests and provide information or determine who can best provide the information and route the request to the proper person.

? Work with customers and production control to offer alternatives to problem orders and delivery schedule.

? Respond to all complaints received from customers not handled by individual Customer Support Representatives.

? Perform other duties and projects as assigned by the Sr. Operations Manager.

? Provide the appropriate level of communication for the position.  This shall include written and verbal communication, as well as comprehension of the same.

? Provides a professional response to for the following:

? Order entry and change orders

? Catalog information

? Product samples

? Provide vacation/ emergency capacity for CSR/ Planner positions.

? Attends and directs meetings with other departments when necessary to implement new procedures or resolve interdepartmental issues.

? Provides input and recommendations to Sr. Operations Manager on new policies and procedures.

? Writes or adjusts staff?s job descriptions, as needed.

? Provide daily report on customer call-backs with a goal of 24 hours on delivery and expedite information on domestic product and 48 hours on international product.

? Train new team members in all areas of the Planning faction and cross train a replacement.

? Review the monthly shipping schedule and develop manageable, production schedules which meet our budgeted goals.

? Release production job orders for finished good, sub-assemblies and components.

? Responsible for contact assembly, machine shop, molding, special products, and connector assembly schedules.

? Assist with production forecasting, data entry, and safety stock analysis.

? Review and release orders on the Order Action Report.

? Expedite component material to be available when needed.

? Requisition purchased parts and raw material as directed.

? Adjust scheduled ship dates as required and advise Customer Service Reps. of relevant changes.

? Review MRP Exception report and respond to messages as required.

? Review all work centers for shortages and proper completion dates.

? Notify Receiving, Inspection and Stockroom of critical incoming shortages. 

? Maintain departmental metrics and reporting as assigned.

? Participate in Continuous Improvement company wide team efforts.

? Expedite with purchasing components to meet production schedules.

? Review monthly schedules for dollars and accuracy.

? Maintain a high degree of integrity in support of customer service by means of accurate delivery commitments.

? Participate in year-end physical inventory.

? Follow prescribed safety rules and regulations and maintain work area in a clean and orderly manner.

? Perform other duties as required or as directed by Sr. Operations Manager.

REQUIREMENTS

 

? Must possess excellent communication skills both written and oral.

? Must be detail oriented and possess analytical skills.

? Experience with an online MRP system.

? 5 years in a supervisory position.

? BA/BS
