Purchasing Coordinator

Seeking a Purchasing Coordinator for a Food Manufactoring Company in Hayward.  This is a temp-perm position.  Must be able to pass a background check, drug screen and hair follicle exam that goes back to 6 months. Job responsibilites and duties are as follwoed: Coordinate activities involved with the returning of cheese to vendors.
? Assist in tracking and managing outside inventories.
? Create, track and maintain spreadsheets related to purchasing as instructed by the manager.
? Assist in obtaining certificates of analysis from vendors and distributing them to QA.
? Assist in obtaining and updating product specifications sheets.
? Responsible for obtaining certificate of analysis for raw material purchased.
? Confer with suppliers concerning late deliveries, manufacturing problems, pricing discrepancies, and any other problems that involves the supplier.
? Prepare freight transportation sheets for the traffic department regarding pickup and delivery from various vendors.
? Assist in the setup and maintenance of vendor information in company software system.
? Assist in generating documentation for new item setup and inputting data into company software system.
? Assist in managing process to monitor import purchases.
? Serve as relief to Purchasing Manager and Buyer.
? Perform applicable administrative duties, such as: typing, filing, copying, faxing, etc.
? Adheres to company attendance and punctuality policy.
? Responsible for monitoring the special purchase list and the shortage report on a daily basis.
? Responsible for setting up and processing transfers into Hayward and outside storage.
? Responsible for receiving and monitoring loads in outside storage.
? Responsible for monitoring special pricing through reports and graphs, i.e. opportunity buys and Swiss cheese pricing.
? Responsible for working with the Purchasing Manager and Purchasing Agent to implement new processes.
? Responsible for converting manual processes to Navision-based reports.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
Must be computer literate and have the ability to learn, navigate and use designated software programs as required to perform job functions.  Must have the ability to add, subtract, multiply and divide in all units of measuring whole numbers, common fractions and decimals.  Must be able to work effectively in a multi-tasking work environment and prioritize workload.  Must be able to work independently with minimum supervision and have the ability to interact positively with others within the department and organization.
REQUIRED TRAINING:
All new employees are required to attend New Employee Orientation and applicable safety and job specific training as directed there after.  In house software applications, Excel and Microsoft Word - Intermediate.
EDUCATION AND EXPERIENCE:
Associated Degree desired.  Must have two to four years relevant work experience.
WORKING CONDITIONS:
Work is normally performed in a typical interior/office work environment.  Includes heavy phone and computer work.  80% of time is spent behind the desk; 20 % of time is spent interacting with other departments.
